Dishwasher Leak Response and Damage Assessment

Purpose

A dishwasher leak call is two jobs arriving as one: an appliance to repair and a building someone will want paid for. The shop inherits every stain it did not photograph before it started work, and the tech who kneels in the puddle and starts pulling the unit has already lost the ability to prove what was there when he arrived.

This procedure guarantees three things. The hazard is removed before anyone reaches under the machine, because a dishwasher leak is standing water beneath an energized appliance. The pre-existing condition is recorded before the first fastener turns. And the boundary between an appliance repair and a restoration job is drawn on measurements rather than on a tech's willingness to help.

Scope

Residential dishwasher leak calls: active leaks, intermittent leaks, and calls where the customer reports damage from a leak that has already stopped. Covers hazard control, documentation, source isolation, and the damage boundary.

It does not cover drying, dehumidification or restoration, which belong to a restoration contractor and which step 7 hands off to, nor supply and drain failures upstream of the appliance connection, which are a plumbing call even when the water ends up under a dishwasher. Sewage backflow is out of scope entirely.

The first five minutes

Open the breaker before anything else, then prove the appliance dead. A dishwasher sits in standing water with a heater element, a pump motor and a control board in it. Open the circuit at the panel from a dry surface, then verify dead at the appliance junction box with a meter proved live on a known source before and after, which is NFPA 70E-2021, 120.5. Work practices are 29 CFR 1910.333(b)(2), not 1910.147, which excludes utilization work at (a)(1)(ii)(C).

Close the supply stop under the sink. If it is seized, close the fixture branch or the main. Do not force a corroded stop; a snapped stop turns a leak into a flood.

Do not put hands or towels into water under an energized appliance, and do not use a wet vacuum on a circuit you have not opened.

Water in the tub can be hot. A cycle interrupted mid-heat leaves water and an element above scalding temperature. Let it stand or drain before reaching in.

The procedure

  1. Confirm the hazard is controlled and say so out loud. Verify the breaker is open and locked or tagged where a second person could close it, and that the supply stop is shut. Acceptance: appliance proved dead, stop closed, customer told which breaker is off. Wrong looks like a tech who turned off the switch on the wall. Stop rule: if the circuit cannot be positively identified and de-energized, no work under the machine.

  2. Photograph before you touch anything. Wide shots of the kitchen, the toe kick, the adjacent cabinet bases, the floor covering at the joints, and any existing staining, warping or delamination. Acceptance: a set that would let a stranger tell what the room looked like on arrival, timestamped. Wrong looks like photos taken after the machine is pulled. Stop rule: no photos, no pull; this is the step that protects the shop and it takes 3 minutes.

  3. Classify the water before you handle it. Clean supply water, drain water carrying food soil, or backflow. Acceptance: a stated category with the reason. The IICRC S500 categories are the common language, and that is a consensus standard rather than a regulation, reaching you through the restoration contractor and the insurer rather than through code. Stop rule: anything suggesting sewage backflow ends the appliance visit.

  4. Isolate the source with a fill-only test, not a full cycle. Restore power and water, remove the toe kick, lay dry paper at each candidate joint, and run fill only with no detergent and no heat, watching the door bottom, tub seams, sump gasket, pump seal, heater gasket and inlet valve. Acceptance: one wet paper and a visible path. Wrong looks like running a full cycle, which floods the floor again and tells you only that it leaks. Stop rule: no leak on fill means run drain only next, because a drain-side leak is a different family. Keep hands clear of the door bottom during fill; the door can drop.

  5. Rule out the causes that are not appliance faults. Check level across the tub and front to back, look for overspray from a cracked spray arm, ask what detergent is in use, and check the drain hose high loop or air gap. Acceptance: level within the manufacturer's tolerance and drain routing matching the installation instructions. Wrong looks like a pump seal condemned on a machine leaking because hand-dish soap foamed out the vent. Stop rule: an installation or usage cause is corrected and demonstrated, not parts-replaced.

  6. Measure moisture out from the footprint, against a reference. Take pin or pinless readings at the cabinet base each side, the toe-kick area, the subfloor at the front corners, and the floor covering seam, then take a reference reading on the same material well away from the leak. Acceptance: readings at or near the reference. Wrong looks like a single reading with no reference, which is a number with no meaning because species, product and ambient all move it. Stop rule: readings materially above the reference outside the appliance footprint means building materials are wet.

  7. Draw the boundary and hand off if it is crossed. Appliance-only wetting is yours. Wet cabinet bases, wet subfloor, or wet floor covering beyond the footprint is a restoration scope. Acceptance: a written boundary statement either way. Wrong looks like a tech running a fan and telling the customer it will dry out, which converts a covered loss into an argument. Stop rule: crossed boundary means stop, tell the customer in plain words, and give them the referral.

  8. Leave the machine in a stated condition and get the acknowledgment. If the leak is unrepaired, red-tag it, leave the supply stop closed and the breaker off, and write why. Acceptance: the customer repeats back that the dishwasher is not to be used and the water is off. Wrong looks like an unrepaired leaker left energized with a verbal warning. Stop rule: no acknowledgment, no departure until the office has spoken to whoever authorizes.

The record this produces

A leak assessment attached to the ticket, and it is the document that decides who pays for the floor.

  • Arrival state: leak active or stopped, breaker identified and opened, supply stop closed, water category.
  • The photo set from step 2, timestamped, including every pre-existing defect the tech noticed and the ones he did not think mattered.
  • Source: the joint or component that wet the paper, and which test found it, fill or drain.
  • Non-appliance causes checked: level reading, detergent, drain routing, spray arm condition.
  • Moisture map: each location with its reading and the reference reading beside it, on the same line.
  • Boundary statement: appliance-only, or building materials wet with the locations named.
  • Disposition: repaired, red-tagged, or referred, with the customer acknowledgment.

The moisture map earns this record its place. Restoration contractors, adjusters and the customer all read it, and a map with readings but no reference column is unusable to every one of them. Office sends it the same day, because a photo set that surfaces three weeks into a dispute reads as a shop defending itself rather than documenting its work.

One run of this procedure, filled in

Call booked as "water under the dishwasher, we mopped it up twice this week." Leak not active on arrival.

  • Step 1: breaker identified and opened, appliance proved dead at the junction box, supply stop closed. Customer told which breaker.
  • Step 2: photo set taken. It caught a dark line along the bottom of the cabinet face to the left of the machine that nobody had mentioned.
  • Step 3: no odor, no soil, water reported clear. Category recorded as clean supply water with the reason.
  • Step 4: toe kick off, dry paper laid at six candidate points, fill only. Paper at the sump gasket wetted within the fill. Source identified without a full cycle and without re-wetting the floor.
  • Step 5: level within tolerance both ways, spray arm intact, correct detergent, drain hose with a proper high loop. No installation or usage cause.
  • Step 6: readings at both cabinet bases, both front subfloor corners and the floor seam, with a reference on the same cabinet material at the far end of the run. Right side and both subfloor corners read at reference. Left cabinet base reads well above it, and so does the floor seam on that side. Fail against the acceptance condition.
  • Step 7: stop rule taken. Sump gasket repair quoted but not performed, because the cabinet base has to dry and be inspected before anything slides back into that opening. Restoration referral given, boundary statement issued naming the left cabinet base and the adjacent floor seam.
  • Step 8: red-tagged, supply stop left closed, breaker left off, customer acknowledgment taken.

The dark line in step 2's photos is why this run is worth reading. It predates the visit and sits on the same side as the elevated readings, so the leak had been wicking into the cabinet before the customer ever saw water on the floor. Photographed after the machine was pulled, that mark would have been indistinguishable from damage caused by dragging the appliance out.

When the call does not match this procedure

The leak is active and the customer cannot find the stop. Close the main. A whole-house shutoff for an hour is cheaper than any other outcome, and a stop that will not close is a plumbing call the same day.

The appliance is under a warranty covering water damage. Do not disturb the installation beyond step 4. Photograph, document, and let the administrator direct the teardown; a shop that pulls the unit first can be told it destroyed the evidence.

A tenant reports it and the landlord owns the building. The moisture boundary is the landlord's information. Give the tenant the hazard instructions, and send the assessment to whoever authorizes.

The customer refuses the restoration referral. Record the refusal in writing, restate that the appliance repair cannot proceed into a wet cabinet, and leave the red tag. A repair performed into wet building materials becomes the shop's leak the next time water appears.

No leak reproduces at all. Guess no part. Leave the machine in service with instructions to photograph and call immediately, and book a return. An intermittent dishwasher leak is usually a door seal at a specific load or a drain-side event, and both have to be caught in the act.
