Food Loss Claim Documentation
Purpose
When a refrigerator fails, the appliance repair is the small part of the customer's problem. The large part is a freezer full of food and a question about who pays for it, and that question is decided almost entirely by what your technician measured and wrote down in the first fifteen minutes on site. Nobody can reconstruct a compartment temperature afterwards. Once the doors have been opened, the food moved to a neighbour's freezer and the appliance repaired, every fact that mattered is gone.
There is a second, harder reason. Sometimes the failure is arguably connected to work your own shop did, and a technician who says the wrong thing in that moment, in either direction, creates a problem the shop cannot manage later. Record facts precisely and route the fault question to the owner, immediately, from the customer's kitchen.
Scope
Covers what the technician records on any service call where food has been at risk: refrigerator, freezer, wine and beverage centre, and refrigerated drawers. Applies whether the customer has raised a claim or not, because most customers raise it after the tech has left.
Does not cover the diagnosis itself, which lives on the refrigeration howto and troubleshooting shelves, and does not cover whether any claim is payable. Who owes a customer for spoiled food is a question for their own homeowner or renter policy, the warranty or service contract administrator, or, where your own work is implicated, your general liability carrier and your attorney. This SOP produces the evidence those parties ask for and takes no position on the outcome.

Procedure
Ask the timeline before you open a door, and write the customer's own words down. Acceptance: when the unit was last known working normally, when the problem was first noticed, what it looked like then, whether the doors have been opened since, whether food has already been moved, and whether the power has been out. Wrong looks like a summary written after the diagnosis, which unconsciously edits the timeline to match the fault you found. Stop rule: the customer cannot give a first-noticed time, record that as unknown rather than estimating one, because an estimated timeline in your handwriting becomes a fact in somebody's claim file.
Measure the air temperature in each compartment separately, with a thermometer you can show is calibrated, before opening the doors more than once. Acceptance: a fresh food compartment air reading and a freezer air reading, each with the time taken, plus the room ambient. Wrong looks like reading the appliance's own display, which on many units shows the setpoint rather than the actual, and which is exactly the number a claims administrator will discount. Stop rule: no calibrated instrument on the truck, record that limitation plainly rather than reporting a number you cannot support.
Measure the internal temperature of a dense frozen item and record whether ice crystals are still present. Acceptance: a probe reading from the middle of a solid frozen item plus a plain-language note on package state, firm and crystalline against soft and slumped. Wrong looks like judging a freezer by its air temperature alone, which swings with every door opening and tells you about the last few minutes rather than the last day. Stop rule: no probe available, record the package state and the ice crystal observation, which is the evidence USDA guidance itself turns on.
Photograph the compartments as found, the thermometer in position with its reading visible, and the data plate. Acceptance: images that a stranger could read the temperature from, timestamped, showing enough of the compartment to establish which one it is. Wrong looks like a close-up of a display with nothing around it. Stop rule: customer objects to photographs of their food, photograph the thermometer and the empty shelf areas instead and note the objection.
Diagnose the failure and record its mechanism and its character, because the character sets the timeline. Acceptance: a stated mechanism, and whether the failure was a hard stop or a slow drift. A seized compressor stops cooling at a moment. A failing evaporator fan or a stuck damper on a single evaporator unit starves the fresh food compartment while the freezer stays cold, which produces warm fresh food and firm frozen food at once and a timeline in days rather than hours. Wrong looks like reporting "not cooling" with no mechanism, which leaves the claim no way to date anything. Stop rule: no mechanism established this visit, say so, because an unsupported guess is worse than a gap. Hazard: live readings at the compressor or control mean an energized 120 V circuit on a wet floor, so de-energize at the branch breaker and prove dead with a meter checked on a known live source before and after per 29 CFR 1910.333(b)(2), taking live measurements only where the diagnosis requires them.
Pull the control's stored fault history where the model supports it, and record the codes verbatim. Acceptance: codes and any counters, transcribed exactly, plus a note of the model's diagnostic entry sequence used. Wrong looks like clearing codes before recording them, which destroys the only machine-generated evidence of when the failure started. Stop rule: never clear a fault history before it is written down and photographed, on any visit where food loss is in play.
Check whether your own shop touched this appliance before, and if it did, stop and escalate before saying anything about cause. Acceptance: the service history checked from the truck, and where a prior repair by your shop plausibly relates to this failure, a call to the manager from the site. Wrong looks like a technician saying either "that has nothing to do with what we did" or "yes, that part we fitted failed", both of which the shop then has to live with. Stop rule: say only that you will document what you found and that the office will call, complete the documentation, and hand the conversation to the manager the same day. That is not evasion; the tech does not have the coverage information, the prior invoice or the carrier's position in front of them.
Give the customer the recognised food safety guidance in writing, and do not decide for them what to discard. Acceptance: the customer has the USDA position in hand: perishable food held above 40 F for more than 2 hours should be discarded, an unopened refrigerator holds food safely about 4 hours after power loss, a full freezer about 48 hours and a half-full freezer about 24, and food still containing ice crystals or at or below 40 F may be refrozen. Wrong looks like a technician making the call item by item, which puts a food safety judgement on somebody with no standing to make it. Stop rule: never dispose of a customer's food yourself, and never advise keeping something the guidance says to discard.
Deliver the packet to the office the same day, complete, and flag it if step 7 fired. Acceptance: office has the record before the tech's shift ends. Wrong looks like a packet completed from memory the following morning. Stop rule: shift ending with the packet incomplete, submit what exists and mark the gaps rather than filling them later from recollection.
The record this produces
One food loss record on the job, written for a reader who was not there:
- Timeline: last known good, first noticed, door openings since, food already moved, power outage yes or no, in the customer's words with unknowns marked unknown.
- Measurements: fresh food air, freezer air, dense item internal, room ambient, each with a time and the instrument used.
- Observation: ice crystal presence and package state, door seal condition, anything blocking a vent.
- Machine evidence: fault codes verbatim, photographs of compartments and readings.
- Mechanism: the failure, and whether it was a hard stop or a drift.
- History flag: prior work by your shop, and the escalation if yes.
The office reads it to answer the customer. The insurer or warranty administrator reads the measurements and the mechanism, in that order, because those two together date the loss. Your manager reads the history flag. If anyone disputes any of it months later, this is the only contemporaneous record that exists.
Worked pass: a warm fresh food compartment, a cold freezer and a history flag
A no-cool call on a top-mount refrigerator, single evaporator, customer reporting milk spoiling. Step 1 was taken at the door before anything was opened: last known good was three days earlier, first noticed was two days ago when butter would not firm, doors opened normally since, no food moved yet, no power outage. Step 2 measured the fresh food compartment air at 55 F, the freezer air at 8 F and the room at 72 F. Step 3 probed the middle of a frozen meat block at 6 F and found hard ice crystals throughout every package.
That set of readings answers the two compartments separately, which is the point. The freezer never lost temperature, so under the USDA guidance in step 8 its contents were never at risk. The fresh food compartment sat at 55 F, well above 40 F, and by the customer's own timeline had been drifting about two days, far past the 2-hour threshold, so its perishable contents were a loss. Step 4 photographed both compartments with the thermometer visible in each.
Step 5 found the mechanism: the evaporator fan was running intermittently, starving the air path into the fresh food section, which on a single evaporator unit is cooled with freezer air through a damper. A weak fan therefore warms the fresh food side while the freezer, sitting on the coil, stays cold. Character recorded as a drift over days rather than a hard stop, which matches the customer's two-day account. Step 6 pulled two stored fan-related codes and photographed them before anything was cleared.
Step 7 is where the pass fails, and it is the important failure. The truck history showed the shop had replaced this same evaporator fan motor five months earlier. The tech took the stop rule exactly: he said he would document what he had found and that the office would call the same day about the earlier repair, said nothing about cause or coverage, finished the documentation, and called the manager from the driveway. The manager took the customer conversation that afternoon with the prior invoice, the part warranty terms and the shop's position in front of her, none of which the tech in the kitchen had.
Step 8 handed the customer the guidance in writing. She discarded the fresh food perishables and kept the freezer contents, which the ice crystal observation supported.
Two things worth carrying. The measurements decided the claim, not the diagnosis: the freezer reading saved half the food and took under a minute. And the history flag is the step technicians skip because it feels like an accusation against their own shop, when it is the step that most protects it, because a manager who first hears about a five-month-old repair from the customer's attorney is starting from behind.
A power outage in step 1 would move the whole analysis onto the utility timeline and the USDA hold times rather than any appliance fault, and the record becomes a duration record.
