Encapsulation and Low Moisture Service
Purpose
An encapsulation visit is the one service this trade sells whose result is finished by somebody who does not work for you. The polymer crystallizes around suspended soil, and that soil leaves the building in a janitor's vacuum bag two days later or it does not leave at all. The encap horror story - an office looking worse three weeks after cleaning than before - traces back to that handoff failing rather than to the chemistry.
So this standard puts as much weight on the coverage measurement, the dry verification and the written handoff as on the agitation. It is a route visit on an occupied account, inside a window, in a building where the tenant walks on the floor you just wet.
Scope
Covers a scheduled interim encapsulation or low moisture maintenance visit on commercial carpet: offices, corridors, retail, and multifamily common areas, on glue-down or stretched-in synthetic carpet.
Does not cover: the method itself, meaning product classes, agitation options and dwell behavior, which the encapsulation low moisture how-to owns; choosing encap over extraction or bonnet, which the commercial method decision references own; mixing and dilution (the chemical mixing SOP); and wool or other protein fiber, which needs that SOP's wool-safe pH gate before anything here applies.

Procedure
Confirm the scope against the lane map and the occupancy window before anything comes off the truck. Walk the zones with the map in hand and confirm when the space has to be walkable. Accept: square footage by zone confirmed against the map, release time confirmed with the site contact. Wrong: working from last quarter's map after a floor was reconfigured. Stop rule: a space changed enough that the map is wrong goes back to the account manager for re-scoping rather than being guessed at. Hazard: none; a walk with a clipboard.
Confirm power and the cord route before you plan the drying. Identify the receptacles the counter rotating brush machine, the vacuum and any air movers will use. Accept: each circuit's total inside the ceiling set in the high-rise portable setup SOP, no cord crossing a tenant corridor without a ramp or tape. Wrong: planning three air movers on the assumption any receptacle will take them. Stop rule: drying that does not fit the available power extends the window in writing before you start, not after. Hazard: a cord across a corridor trips someone who never saw your van, and a cord through a rated door defeats the door; both are gated in that SOP.
Pre-vacuum every zone in two directions before any chemistry goes down. Accept: a pass in each of two perpendicular directions on every lane in scope, with the canister or bag emptied when it reaches its fill line. Wrong: skipping the pre-vacuum on a lane that "looks fine" - particulate in the pile at agitation time gets locked into the polymer matrix and reads as dirt once it crystallizes. Stop rule: a pre-vacuum that fills the canister to its fill line in under 1,000 sq ft of lane, this shop's gate rather than a published figure, means the account has slipped past its interval - finish the visit, then escalate for extraction or a shorter interval. Hazard: emptying a loaded canister lofts fine dust into the breathing zone, so do it outside or over a bag held low, never shaken out in the suite.
Confirm the product and mix at the label rate. Mix under the chemical mixing SOP, and label the container. Accept: the label's dilution direction followed in its own units, the secondary container labeled, product confirmed correct for the fiber in scope. Wrong: mixing rich because the lanes look bad, which causes the sticky, fast-resoiling result encap gets blamed for. Stop rule: an unlabeled container of unknown solution is emptied to waste and remixed. Hazard: the mixing hazards live in that SOP and apply in full here, eye protection and the SDS-named glove included.
Pre-treat visible spots before the general application. Work each spot with a spotter and light agitation, then let it dwell. Accept: each spot treated and dwelling before the general prespray goes down, so the spotter is not diluted by it. Wrong: scrubbing hard at a spot on loop pile, which fuzzes the loop permanently. Stop rule: a spot that lifts dye onto the towel stops at once and gets reported to the site contact, because that is a dye problem rather than a soil problem. Hazard: spotters are the strongest chemistry on the cart, so eye protection stays on and they get sprayed low, not misted at face height.
Apply at the label's coverage rate, and measure what you actually used. Even fan pattern from a pump-up or electric sprayer, no puddles and no dry stripes. Accept: ready-to-use gallons per square foot covered within 10 percent of the label's stated coverage for that soil level. Wrong: carpet wet enough to feel damp to the palm rather than just visibly damp. Stop rule: over the 10 percent gate adds post-vacuum passes to the written handoff and sends you to check the sprayer tip, since a worn tip is the usual cause. Hazard: an electric sprayer puts an aerosol at chest height in an enclosed room, so eye protection stays on, spray goes with the airflow, and the room keeps whatever ventilation it has.
Agitate with the brush the pile type takes, twice, at 90 degrees. Stiff to medium brushes on cut pile, softer on tight commercial loop. Accept: two full passes per lane, the second perpendicular to the first, no lane uncrossed. Wrong: one pass with the traffic direction, which lays the pile over rather than lifting it and leaves polymer on the tips. Stop rule: a brush that fuzzes the loop stops the machine and the brush set changes before the next lane. Hazard: a counter rotating brush grabs a cord, fringe or shoelace fast, so the cord rides over the shoulder behind the operator and the machine is unplugged before anything is cleared from the brushes.
Control the floor while it is wet, in a building full of people. Wet-floor signs at every entrance to the wet zone, and a dry path maintained through it. Accept: a sign at each entrance to each wet zone, counted, and a dry route to every exit and restroom the tenant uses. Wrong: one sign at the suite door for a floor with three ways in. Stop rule: a zone that cannot be signed at every entrance does not get wet until it can. Hazard: this is where the injury in a low moisture visit actually happens, and it happens to a tenant in dress shoes, not to a tech.
Verify dry inside the window rather than assuming it. Check at the point in the window that still leaves you time to act. Accept: no moisture transfers to a clean white towel pressed underfoot with body weight for 5 seconds, and cut pile feels slightly crisp, which is crystallized polymer and normal. Wrong: calling it dry because the surface looks dry while the base of the yarn still holds moisture. Stop rule: not dry at the check puts air movers out within the step 2 amp budget, tells the site contact in writing that the window is at risk, and moves the release time rather than the standard. Hazard: air movers push whatever is on that floor around the room, so they point along the lane and away from occupied desks.
Hand off the post-vacuum in writing and restore everything you moved. Put the number of passes and the timing from the product label into a note the site contact keeps. Accept: the written instruction acknowledged by the site contact, every chair, bin and mat back on its mark, every wet-floor sign recovered against the step 8 count. Wrong: telling the night janitor verbally on the way out, which does not survive a shift change. Stop rule: no site contact available means the instruction goes by email to them and the account manager before you leave the parking lot. Hazard: none; the failure this prevents is commercial, and it is the one that ends encap accounts.
The record this produces
The visit writes: zones and square footage cleaned, product and dilution, gallons of ready-to-use solution used, the computed coverage against the label rate and the percentage difference, brush type and pass count, pre-vacuum canister fills with the area they covered, dry check time and result, air movers used and on which circuits, signs out and recovered, and the written post-vacuum instruction with who acknowledged it.
The coverage percentage and the pre-vacuum fills make the account manageable over a year. Coverage drifting over the label rate across visits means a worn sprayer tip or a tech compensating for too long an interval, and both fixes are cheap once you can see it. Canister fills rising visit over visit is the account telling you it needs extraction, in a number you can put in front of a facility manager instead of an opinion.
Worked pass, with a step that failed
Monthly interim visit, 2,400 sq ft of lanes and common area in a single-tenant office suite. Window: crew in at 6 in the evening, space walkable by 7:30, which is 90 minutes.
Step 3 pre-vacuumed both directions and filled the canister once at about 1,600 sq ft, above the 1,000 sq ft gate, so no escalation.
Step 4 mixed 4.0 gallons of ready-to-use solution at the label dilution. Step 6: the label for this shop's product gives 1 gallon ready-to-use per 800 sq ft at medium soil, so 2,400 divided by 800 is 3.0 gallons as the target. The sprayer measured 3.2 gallons used: 3.2 minus 3.0 is 0.2 gallons over, and 0.2 divided by 3.0 is 0.067, so 6.7 percent over the label rate, inside the 10 percent gate. Passed. The remaining 0.8 gallons went to the waste tank under the chemical mixing SOP.
Step 7 ran two perpendicular passes with a medium brush set on cut pile. Step 8 put out 3 signs, one at each of the three entrances to the wet zone.
Step 9 failed. At the 60 minute check, which left 30 minutes of the window, a white towel pressed underfoot for 5 seconds picked up visible moisture in two lanes near the interior wall. Building relative humidity read 68 percent and the HVAC had been off since the previous evening, which is the condition that turns a normal 30 to 60 minute encap dry into a 2 hour one.
The stop rule ran as written. Two air movers went out on the circuit step 2 had assigned them to, the site contact was emailed at the 60 minute mark that the space would be walkable at 8:15 rather than 7:30, and nobody signed off on damp carpet to protect a schedule. At 8:10 the towel came up clean in both lanes and the pile was crisp underfoot. The three signs were recovered against the three deployed, chairs went back on their marks, and the written post-vacuum instruction naming the label's pass count went to the janitorial lead and the account manager by email.
The account note that came out of it is worth more than the visit: this suite's HVAC schedule has to run during the service window, which the account manager took to the facility manager. Without it, every future visit on this account is a 90 minute window that needs 130 minutes.
