Spot and Stain Triage Standard
Purpose
Three things look identical at arm's length: soil sitting in the fiber, dye added to the fiber, and damage where the dye has been taken out or the fiber deformed. Only the first comes out with cleaning. The second sometimes comes out with specific chemistry. The third never does, and every minute scrubbing it makes the distortion worse and the customer angrier.
Sort each spot before any product touches it, because the wrong first product turns a removable spot permanent: alkaline on a tannin sets it, heat on a protein cooks it, a stiff brush on a stained loop leaves a fuzzed patch that outlives the stain.
Scope
Covers spot survey, classification, testing and treatment on wall-to-wall carpet and stair runners during a normal cleaning visit, including the conversation about what will not come out.
Does not cover pet urine, a volume problem below the surface with its own SOP, or whole-lane soil, which is the pre-spray SOP. Rust and red dye each have a dedicated method article; this SOP routes to them. Dye repair and re-tufting are not cleaning services and are referred out.

Procedure
Survey and number every spot before treating any of them. Walk each room with a flashlight held low, so raking light shows what overhead light hides, chip each spot with a number and record its size in inches. Acceptance: a numbered list whose count matches the chips on the floor, per room. Wrong looks like treating the first spot you see and finding four more once the room is wet; a chip count that does not match the written list stops the survey until the room is re-walked, and a spot the customer points out that you cannot see is chipped anyway, noted as not visible on arrival. Hazard: a flashlight at floor level means moving low and backwards, so clear hoses and cords before you walk the room.
Classify each spot into soil, dye or damage, and say the damage ones out loud. Soil sits on and around the fiber with a soft edge; added dye is sharp-edged and uniform; dye loss reads lighter than the carpet around it, often with a yellow or orange cast where the darker dye components went first; distortion changes how light reflects but not the color. Acceptance: every numbered spot carries one category, and the counts by category add back to the survey total. Wrong looks like a bleach spot treated as a stain for twenty minutes; a dye-loss or fiber-damage spot is not cleaned, it is documented, and the conversation happens before the room is wet; a customer who cuts that conversation off or demands the spot be cleaned anyway has the refusal recorded in their words with the category named, and the spot is still not treated. Hazard: none beyond working at floor level, so kneel on a folded towel and keep clear of tack strip at the wall line.
Interrogate the history in the customer's words. What was spilled, roughly when, what got poured on it, and whether anything hot was used. Acceptance: substance, age and prior treatment recorded for every soil or dye spot. Wrong looks like an enzyme spotter on a stain a rented machine already cooked with hot water, which sets protein permanently; where heat has hit a protein spill, say plainly that the odds have dropped and treat it as best-effort; a spot carrying retail chemistry nobody can name restarts the step 4 ladder at clear water rather than at category chemistry, with the unknown on the ticket before treatment. Hazard: an acid product landing on a chlorinated retail residue can gas off in the customer's living room, so an unknown residue is rinsed and blotted before anything new goes on it.
Test the least aggressive treatment first, on the edge of the spot. The order is dry absorption, clear water, a general detergent spotter, then the category-specific chemistry, and no rung is skipped because the spot looks bad. Acceptance: the spot lightens measurably at a rung, or all four rungs are tried and recorded. Wrong looks like a solvent opening on a water-soluble spill, which spreads it and drives it into the backing; a rung that makes the spot spread, bleed or change hue ends that treatment, and the spot is blotted out with clear water and reclassified. Hazard: test on the edge rather than the middle, gloved, and keep the test to a few drops, because a spot that reacts badly at full volume has already reached the cushion where you cannot recover it.
Treat by category, with the blot technique that category needs. Tannins (coffee, tea, wine) take an acid-side tannin spotter, never an alkaline one, which sets them. Proteins (blood, milk, egg) take a cool enzyme or protein spotter and never heat. Greasy spots take a solvent-side product worked outside in. Blot with a folded white towel and standing pressure; do not scrub. Acceptance: transfer appears on the towel and the edge shrinks inward rather than widening. Wrong looks like a scrubbed halo larger than the stain was; if a spot stops transferring after three towel changes, stop rather than raising pressure and let extraction do the rest. Hazard: solvent spotters release vapor a glove does not address, so ventilate, keep the container closed between applications, and keep solvent away from a heat transfer tool or any ignition source.
Handle oxidizers, reducers and heat transfer as their own event, with approval. These are the tools for added dye and they carry the real risk here. Never combine an oxidizer and a reducer, never an acid product with a chlorinated one, and never apply an oxidizer to wool without the owner's approval and a colorfastness test. Acceptance: owner approval on the ticket, a fresh colorfastness test at the spot, and a full clear-water rinse of the area once the reaction is complete. Wrong looks like a lightened halo around a removed red spot, the oxidizer having worked on the carpet's own dye; any lightening outside the spot's original footprint ends the treatment immediately and the area is rinsed. Owner unreachable, late on a weekend or otherwise: the spot is rinsed, weighted, recorded as awaiting approval and booked for a return visit; nobody self-approves an oxidizer to save a second trip. Hazard: reducing agents can release sulfur dioxide, a respiratory irritant that triggers asthma at concentrations that smell merely sharp, so ventilate before opening one, keep occupants and pets out of the room, and if anyone coughs or wheezes, stop, get them outdoors and follow the label's first aid. A heat transfer tool over a damp towel scorches and glazes synthetic fiber within seconds, so it is kept moving, checked every 15 seconds under the towel, and never used on olefin.
Rinse, extract and manage the wick. Every treated spot gets a clear-water rinse and a dry extraction pass, then a folded white towel weighted on top for the rest of the visit. Acceptance: the spot is no wetter than the carpet around it at departure and the weighted towel shows no fresh transfer. Wrong looks like the spot returning two days later, larger, because residual material wicked up from the backing as it dried; transfer still coming through at departure means leaving the weighted towel with the customer to lift the next day and booking the re-check rather than declaring it finished. Hazard: extraction over a treated spot draws chemical into the recovery tank, so the tank is dumped to sanitary sewer per the shop's disposal rule, never on the customer's lawn or driveway.
Close each numbered spot out loud, including the ones you did not remove. Walk the customer to each numbered mark and give one of three outcomes: removed, improved with a re-check booked, or not removable and why. Acceptance: every number from step 1 is addressed, and the not-removable ones are on the paperwork with their category. Wrong looks like a customer finding a lighter patch after the crew leaves and assuming the crew bleached it; the damage conversation happens at step 2 and is confirmed here, so the customer hears it twice; a customer who disputes a not-removable call gets the lead back rather than a second treatment on that spot, because re-treating dye loss adds distortion on top of it. Hazard: none at this step, but hold the walk with the machine off, because a customer who could not hear the word "permanent" has not been told it.
The record this produces
Per room: numbered spot list with size in inches and location; category per spot; substance, age and prior treatment as reported; the step 4 rung reached; chemistry and dilution used; owner approval where step 6 ran; the wick-check at departure; and the closeout outcome per number.
Photograph every spot at its chip before and after, including the dye-loss and damage spots nothing was done to. That untreated photo answers the call three weeks later; it is the only proof the patch was there on arrival.
Worked pass: family room, six spots, one never treated
Six spots surveyed and numbered at step 1: three small dark round spots by the sofa, a 4 in greasy patch at the kitchen doorway, a 2 in light patch beside the recliner, and a shiny 6 in area at the hall entrance.
Step 2 classifies them: the three round spots read soft-edged soil, the greasy patch oily soil, the light patch dye loss with an orange cast at its center, and the shiny hall area pile distortion rather than color change. That is 3 plus 1 plus 1 plus 1, the 6 surveyed. Dye loss and distortion are named to the customer immediately, before the room is wet.
Step 3 gets history on the four treatable spots: the three round ones are coffee from about a week ago with nothing applied; the greasy patch is cooking oil tracked from the kitchen, with a retail spray applied twice.
Step 4 runs the ladder on spot 1. Dry absorption does nothing. Clear water lightens it slightly. A general detergent spotter lightens it further without clearing it. The fourth rung, an acid-side tannin spotter, is reached and recorded. Spots 2 and 3 are the same coffee event and take the same rung.
Step 5 treats the three coffee spots with the tannin spotter, blotting with standing pressure; all three transfer brown and their edges shrink inward. The greasy patch is rinsed with clear water first, the retail product on it being unknown chemistry, then treated with a solvent-side product worked outside in, window open, container capped between applications.
Step 6 does not run: nothing here is added dye, so no oxidizer, reducer or heat transfer tool is opened.
Step 7 rinses, dry-extracts all four treated spots and sets weighted towels. At departure spots 1 and 3 and the greasy patch show no fresh transfer. Spot 2 is still transferring faintly, so the towel is left with the customer to lift the next day and a re-check is booked rather than the spot called finished.
Step 8 closes all six numbers: two coffee spots removed, one improved with a re-check booked; greasy patch removed; light patch not removable, classified dye loss, referred to a dye repair specialist; hall area not removable by cleaning, classified pile distortion, explained as fiber shape changing rather than color.
