Cleaning Equipment Investment Guide

Why this matters

The cleaning business scales by EQUIPMENT, not by chemistry. The right tool turns a 4-hour job into a 90-minute job - that's the entire margin equation. Wrong tool sits in the truck bay collecting dust + the loan payment continues. This is the working capex guide for a residential + light commercial cleaning operation (1 - 10 trucks).

Tier 1: per-truck core kit

Every truck carries this. Buy commercial-grade; consumer-grade fails within 6 months in route use.

  • Microfiber kit. 30 - 50 cloths color-coded by use (red = restroom, blue = glass, green = kitchen, yellow = general). Restock weekly.
  • Chemistry caddy. Concentrate + dilution bottles, labeled.
  • Tool bag. Razor, putty knife, brushes, scrub pads, extension wand.

Tier 2: shared equipment (1 - 3 per shop)

Used across trucks based on the day's jobs.

  • 175 rpm rotary (low-speed) floor machine. Hild or Onyx. This is the strip and scrub machine: low speed, high torque, aggressive pad pressure. It does not burnish. Burnishing a finish to a wet-look gloss needs a high-speed burnisher in the 1,000 to 2,000 rpm range with a burnishing pad; running a 175 at a finished floor just scuffs it. If you sell strip-and-wax and burnish maintenance both, that is two machines, not one.
  • Auto-scrubber (walk-behind). Tennant T300 or Karcher BD 38. Pays back in 80 - 120 hours of commercial work. Required for facilities >5,000 sq ft.
  • Carpet extractor (portable). Mytee Lite or Hydroforce. For occasional carpet work + spot-cleanup.
  • Pressure washer. 3000 psi gas-powered. Driveways, sidewalks, exterior building wash.
  • HEPA air scrubber. XPOWER X-3400A. Construction cleanup + biohazard.

Tier 3: specialty (per-niche)

Add when you book the niche.

  • Truck-mount carpet extractor. Hydramaster Boxxer or Prochem Apex. For dedicated carpet route - 4x faster than portable + cleans deeper. NOT for occasional carpet work; ROI requires 3 - 5 jobs / day.
  • Water-fed pole system. Tucker or Unger. For commercial window cleaning above 1 story.

Equipment-finance math

The decision rule: payback in jobs, not months.

Payback is machine cost divided by what the machine returns per period. Get the two halves in the same units or the answer means nothing.

  • Auto-scrubber: monthly return = hours saved per use x your loaded labor rate x uses per month. Payback in months = machine cost divided by that.
  • Truck-mount: daily return = jobs per day x revenue per job x the margin uplift the machine buys you, plus the jobs per day you simply could not run on a portable. Payback in days = machine cost divided by that, and on a filled carpet route it lands in months rather than years.

Don't buy equipment for hypothetical jobs. Buy when the route has filled enough to justify the machine.

The fastest equipment ROI in residential cleaning is the BACKPACK VACUUM. Tech productivity goes up 25 - 40% versus an upright on a typical 3 - 5 room home, and at that rate the machine pays for itself inside 12 - 20 jobs. Every truck should have one. Most operators don't, because the customer doesn't see it + it doesn't market well - but the labor savings is real + immediate.

Maintenance + lifespan

  • Vacuums: belt + filter every 60 - 90 days; brush roll annually. Lifespan: 18 - 36 months in route use.
  • Buffers: pad replacement per job; bearing service annually. Lifespan: 5 - 10 years.
  • Auto-scrubbers: brush + squeegee monthly; battery every 18 - 36 months. Lifespan: 7 - 12 years.
  • Truck-mount: blower / vacuum service every 200 - 400 hours; heat exchanger annually. Lifespan: 8 - 15 years.

Budget 8 - 12% of revenue for equipment maintenance + replacement.

Used vs new

  • Vacuums: buy new (consumer-grade used fails fast)
  • Buffers + auto-scrubbers: certified-refurb from dealer is 40 - 60% off new + viable
  • Truck-mounts: used market is mature (Rotovac, Hydramaster trade-in fleet); inspect blower hours + heat exchanger condition
