Vacuuming and Spot Treatment Standard

Purpose

Two jobs share this procedure because they fail together. Vacuuming looks like a suction problem and is actually a pass-count and setup problem, so a good machine set wrong lifts a fraction of the dry soil and leaves the rest to be ground into the pile underfoot. Spot treatment looks like a product problem and is actually an identification problem, so the same crew reaching for the strongest bottle turns a recoverable coffee spot into a bleached patch, a color bleed or a permanent pile distortion.

The rule that holds both together: a spot is a test before it is a treatment. Everything after step 5 depends on a hidden-area test that takes under two minutes and is the only thing standing between a routine visit and replacing a customer's rug.

Scope

Covers dry vacuuming of carpet, area rugs and soft flooring, and small spot treatment of fresh spills, on residential and small commercial visits.

Does not cover hot water extraction, encapsulation, bonnet cleaning, deodorizing treatments or any restoration of a set stain. Does not cover water damage, pet urine contamination below the surface, or specialty rugs, meaning silk, viscose, hand-knotted and antique pieces, all of which go to a rug specialist rather than to a spotting bottle. Machine-made wool rugs and wool broadloom stay in scope, on wool-safe chemistry only, per step 5. Upholstery vacuuming is covered in the living-area standard.

Procedure

1. Read the floor covering and set the machine to it. Identify loop pile (uncut loops, a berber look), cut pile (tufts cut open, softer) or a low-profile commercial glue-down, and set brush height so the machine walks without bogging or riding up. Acceptance: the head stays in contact through a full stroke, the motor does not lug, and the pile shows a groom pattern rather than fuzz. What wrong looks like: fuzz or pulled loops appearing behind the machine on a loop pile. Stop rule: fuzzing or a snag stops the pass, the powered brush comes off, and the area finishes with suction only. Hazard: switch the machine off before adjusting a head or clearing the brush, because a brush roll restarts under a foot pedal and takes a finger or a cloth with it.

2. Check filtration and capacity before the first pass, not after. Look at the bag or bin level and the filter face. Acceptance: bag or bin no more than about two thirds full and the filter face clean enough to see through, because airflow, not motor size, is what lifts soil. What wrong looks like: a machine that sounds strong and leaves visible grit when you drag a hand across the pile. Stop rule: a bag past two thirds is changed before the visit starts, not carried through it. Hazard: changing a bag releases the fine dust you just collected back into the room, so do it outside or at the vehicle, and in a home with a reported allergy or asthma occupant, run sealed HEPA-rated filtration rather than a standard bag.

3. Detail the edges and corners before the open field. Run the crevice tool along baseboards, into corners, under reachable furniture edges and along stair nosings. Acceptance: no soil line visible where carpet meets baseboard and no debris ridge along a stair nosing. What wrong looks like: a clean open field framed by a dark gray border, which is the single most visible vacuuming defect in any room. Stop rule: an edge line that does not lift with the crevice tool is embedded soil and goes on the note for extraction rather than being scrubbed by hand. Hazard: working the edge puts your hand near tack strip under the carpet edge and staples on a stair nosing, so use the tool rather than a hand and keep fingers off the carpet edge.

4. Vacuum the field by pass count, not by appearance. Work in overlapping strokes and count them: four passes in the low-traffic field, and six in a traffic lane (three forward and three back) followed by six more perpendicular, twelve on the lane. Both counts are shop defaults, not physics: tune them to your machines and properties, then hold everyone to the same number. Acceptance: the counted passes were made and a hand dragged against the nap picks up no grit. What wrong looks like: a room that reads clean because of the groom pattern while a hand test still finds grit, since the pattern is cosmetic and the pass count is the work. Stop rule: grit after the counted passes is either the machine or embedded soil, so re-check step 2, and if bag, filter and head are all inside acceptance the soil sits below the pile and goes on the note for extraction rather than more passes. Hazard: keep the cord behind you and out of the walking route, never vacuum a wet area with a dry machine, and stop on a cord with damaged insulation rather than taping it.

5. Triage the spot before you open anything. Note what it is, how old it is, whether it is water-based or oily, and what fiber it sits in. Acceptance: a named substance, an age, and a named fiber or an explicit "unknown fiber" on the record before any product is chosen. What wrong looks like: reaching for a general spotter on an unknown fiber, which is how wool gets alkaline damage and how a solution-dyed fiber gets an oily halo. Stop rule: unknown fiber plus a set stain is not a spotting job, it is a note; silk, viscose, hand-knotted and antique pieces stop here regardless of the substance and go to a rug specialist, while a machine-made wool rug or wool broadloom continues on a wool-safe neutral to mildly acidic spotter only, never an alkaline or oxidizing one. Hazard: never combine an oxidizing spotter with an ammoniated one, and never use a solvent spotter near a pilot light, a candle or a space heater; ventilate the room and keep the container closed between applications.

6. Test in a hidden area, then work outside in and blot, never rub. Apply the chosen product to a closet corner, under a sofa or on a rug's turned-back edge, blot with a white cloth, and look at the cloth and the fiber. Acceptance: no color on the white cloth and no change in the fiber after the test area dries. What wrong looks like: any dye transfer to the cloth, which is bleed and it will happen on the visible area too. Stop rule: dye transfer ends product use on that piece, full stop; blot with clean water only, photograph, and route it to a rug specialist. Hazard: nitrile gloves for any spotter and eye protection when applying overhead or on a stair, both picked off that product's SDS section 8 rather than off habit, since 29 CFR 1910.132 puts the hazard assessment and the PPE on the employer for each chemical the crew is handed; and do not kneel on a treated area, a spotter transfers to clothing and skin.

7. Apply, agitate gently, then remove the product rather than leaving it. Work from the outside of the spot toward the center so it does not spread, agitate with a white towel or a soft brush, then blot with clean water and press dry under a folded white towel with weight on it. Acceptance: the towel comes away with no color after the final water blot, the spot area is damp rather than saturated, and the pile is lying in its original direction. What wrong looks like: a wet ring larger than the original spot, which is a wicking ring in the making. Stop rule: if the spot has not moved after two product applications, stop and route it to extraction; a third application only adds product to remove later. Hazard: keep the treated area off the walking route while damp, because a damp carpet spot on a hard-floor transition is a slip point, and tell the occupant which way to walk.

8. Verify dry, because a spot lies while it is wet. Come back to the spot before you leave, and set a check on the next visit. Acceptance: the area is dry to the back of a hand, shows no ring, no browning at the edge and no stiffness in the pile. What wrong looks like: a clean wet spot that reappears as a brown halo the next day, which is wicking, soil drawn back to the surface from the backing as it dries. Stop rule: a reappearing ring is not re-treated with more product, it is logged for extraction. Hazard: none beyond the damp area flagged at step 7, which stays flagged until it is dry.

The record this produces

  • Machine state - bag or bin level and filter condition at the start. This is what a "your vacuum is not picking up" complaint is answered with.
  • Fiber and rug notes - per property, per room. Written once, and the reason a specialty rug never meets a spotting bottle.
  • Test result - where the test was, what the cloth showed, dry outcome. The evidence that step 6 happened.
  • Spot log - substance, age, product used, number of applications, result, photo. This is the file that decides whether the next visit re-treats or extracts.
  • Out-of-scope note - embedded edge soil, set stains, pet contamination, specialty rugs. Both the quote and the exclusion.

Worked pass: a nylon cut-pile living room and a machine-made wool rug

Two coverings: wall-to-wall nylon cut pile with a traffic lane from the entry to the sofa, and a machine-made wool area rug under the coffee table carrying a coffee spill about a day old.

Step 1 set the brush height on the cut pile so the head stayed in contact through a full stroke with no lugging. Step 2 found the bag a little over half full and the filter face clean, both inside acceptance. Step 3 detailed the baseboards and lifted the border line with the crevice tool.

Step 4 ran the shop's counts: four in the low-traffic field, then twelve on the lane, six along and six perpendicular. The hand-drag test against the nap picked up no grit, so the step passed on its stated acceptance rather than on how the groom pattern looked.

Step 5 triaged the rug spot as coffee, about a day old, water-based, on a machine-made wool rug. A machine-made wool piece does not stop at step 5, it takes the wool-safe branch, so the product chosen was a neutral to mildly acidic spotter, nothing alkaline or oxidizing. Had it been hand-knotted, step 5 would have ended it with no product at all.

Step 6 failed. The test went on the rug's turned-back edge and the white cloth came away with a faint but unmistakable rust-colored transfer from the rug's own dye, not from the coffee. Any dye transfer ends product use on that piece under the step's stop rule, so nothing further was applied: clean water blot, cloth photographed beside the rug corner, record written as "machine-made wool rug, dye transfer on hidden test, no spotter used, route to rug specialist."

Steps 7 and 8 ran on the nylon only, where a separate small spot took one application, blotted outside in, water blot, weighted towel, dry at the pre-departure check with no ring and no stiffness.

The exception paths this pass makes concrete. A customer who says "just try something, it is only a rug" is a scope change and a documented refusal: the dye transfer already proved the outcome. A spot the customer has already treated with an unknown product gets no product from you at all, only a water blot, a photograph and a log line: you do not know what is in the fiber or what yours would do on top of it.
