Customer-Supplied Fixture Acceptance
Purpose
Customers buy their own light fixtures, and most of the time that is fine. The problem is that the decision about whether a particular one may be installed gets made at the worst possible moment: after the old fixture is down, the ceiling is open, the customer is standing there, and the tech is holding a carton with no instructions in it.
This procedure moves that decision to the front, where it costs about a quarter of an hour, and gives it a fixed gate every tech applies the same way: a recognized certification mark, a complete parts inventory, ratings that match the supply, a location listing that matches where it is going, and installation instructions in hand. A fixture that fails any one of those goes back before anything comes down. The failure this prevents is not a code violation on paper. It is a shop that installs an unlisted assembly, absorbs a return trip when it fails, and finds itself the only party in the transaction with anything to warrant.
Scope
Covers acceptance or decline of luminaires, ceiling fans and similar lighting equipment supplied by the customer rather than by the shop, for residential and light commercial installation.
Does not cover the installation itself, which the light fixture replacement standard SOP owns and which begins only after this procedure returns an accept. Does not cover box or support suitability, which the ceiling box and fan-rated support verification SOP owns. Does not cover appliances, panels, breakers or wiring devices supplied by a customer, which a shop generally should not install at all and which is a policy decision above this procedure.

Procedure
Ask at booking and get photographs before the truck rolls. Acceptance: the ticket carries the fixture's make and model, a photograph of the rating and certification label, a photograph of the parts list, and confirmation the customer has it in hand. Wrong looks like "customer supplying fixture" with nothing attached, which sends a tech to a decline he could have made from the office. Stop rule: a customer who cannot photograph a certification label is told before the visit that the fixture may be declined on arrival. Hazard: none, this is a phone call; the customer is specifically told not to unbox or partially assemble anything, because a half-assembled fixture cannot be returned.
Unbox and inventory against the parts list with the customer present. Acceptance: every item on the parts list found, counted and laid out, including mounting strap, screws, canopy, glass, diffusers, driver and any remote. Wrong looks like a fixture missing its mounting strap, which is the most commonly missing item and the one the customer notices least. Stop rule: a missing item is a decline until the manufacturer supplies it; a substitute screw or strap from the truck changes the assembly the manufacturer tested. Hazard: unboxing means staples, glass edges and a blade, so the blade cuts away from the hand, glass comes out onto a padded surface rather than a countertop, and a heavy multi-arm fixture is lifted from the carton by two people.
Find and read the certification mark. Acceptance: a mark from a recognized testing laboratory found on the fixture itself, not only on the carton, with the laboratory's name legible. Wrong looks like a mark that is a manufacturer's self-declaration for another market rather than a testing laboratory's listing, or a carton printed with a laboratory's name over a fixture that carries no mark at all. Stop rule: no recognized mark on the product is a decline, full stop; NEC 110.2 as adopted locally requires equipment to be approved, and 29 CFR 1910.303(a) puts a parallel duty on the shop for equipment its own employees install. Hazard: do not energize an unlisted or suspect fixture on the bench to see whether it works; a fixture that fails this gate is not tested, it is returned.
Confirm the electrical ratings against the supply. Acceptance: the label's voltage and frequency match the branch circuit, the wattage and lamp type are compatible with the control that will feed it, and any integral driver's dimming protocol is named. Wrong looks like a label reading 220 to 240 V at 50 Hz, which is an import that will run hot, run wrong, or not run at all on a 120 V, 60 Hz circuit. Stop rule: a rating mismatch is a decline and not something a transformer solves on a residential lighting job. Hazard: none physical, this is a label read with the fixture on the floor and nothing energized.
Confirm the fixture's location listing against the classified location. Acceptance: a damp-location listing where the fixture is going into a bathroom, covered porch or laundry, a wet-location listing where it will see spray or weather, and a type permitted in a clothes closet where that applies, checked against the location class the light fixture replacement standard SOP produced. Wrong looks like a dry-only vanity light chosen for a shower-adjacent wall. Stop rule: a listing that does not cover the location is a decline, even when the customer has already hung the matching one in another room. Hazard: none physical; the fixture stays boxed while its label is compared against the classified location.
Confirm the installation instructions are present and usable. Acceptance: printed or downloadable instructions in hand, in a language the crew reads, naming the mounting method, the supply conductor temperature requirement and any weight or clearance limit. Wrong looks like a diagram-only sheet with no supply conductor temperature marking, which leaves the tech unable to satisfy NEC 110.3(B) or to answer the thermal question the installation SOP will ask. Stop rule: no instructions means no install, because installation per the listing instructions is the condition the listing itself carries. Hazard: none physical, this is a document check made at the truck.
Make the call and put it in writing before anything comes down. Acceptance: an accept or a decline recorded on the ticket naming every gate checked and its result, with a photograph attached to any failed gate, and for an accept, a customer acknowledgment that the shop warrants its labor while the product warranty stays with the manufacturer and the seller. Wrong looks like a verbal "it should be fine" with nothing written. Stop rule: an accept over a failed gate is not the tech's to make; it goes to a lead, who records the reason. Whether a signed acknowledgment shields the shop is a question for your own attorney; what it reliably gives you is a dated record that the customer was told, in the customer's own words. Hazard: none physical, this is a conversation held with the existing fixture still up and the circuit untouched.
Close the loop on a decline, or hand off cleanly on an accept. Acceptance: on a decline, the fixture repacked as found, the failed gate named to the customer in plain words, the ticket closed to a diagnostic or trip charge, and a return booked against a specific replacement; on an accept, the location class, weight, supply conductor temperature requirement and mounting method handed to the light fixture replacement standard SOP. Wrong looks like a declined fixture left half-unboxed on the floor, which the customer can no longer return. Stop rule: nothing comes off the ceiling on a visit that ends in a decline, because a customer left in the dark will pressure the next tech into installing it. Hazard: none physical; on a decline, the existing fixture was never disturbed, which is precisely why this procedure runs before the installation one.
The record this produces
One acceptance record per fixture: make and model, the certification mark found or its absence, the label's voltage, frequency and wattage, the location listing, the parts inventory result, whether instructions were present, the accept or decline with the gate that decided it, the photographs, and for an accept, the acknowledgment and who obtained it.
Two entries earn their keep long after the visit. The photograph of the label is what settles a later argument about whether the fixture was listed when it went in, and it costs one shutter press. The named gate on a decline is what lets the office tell the next customer exactly what to look for when they shop, which turns a wasted trip into a shorter second one.
Worked pass: two customer-supplied fixtures, same visit, one accepted and one declined
The ticket carries a 5-light dining chandelier and a bathroom vanity light, both bought online by the customer. The office got a photograph of the chandelier's label but not the vanity light's, and the ticket says so.
The chandelier runs the gate. Step 2 inventories the parts list and finds all five glass shades, the strap, the crossbar and every screw. Step 3 finds a testing laboratory's mark stamped into the canopy, not only printed on the carton. Step 4 reads 120 V, 60 Hz, five sockets at 60 W maximum each. Step 5 classifies the dining room dry, which the fixture's listing covers. Step 6 finds printed instructions naming a 24 lb assembled weight and requiring supply conductors rated at least 90 C. Step 7 accepts, records all five gates, and takes the acknowledgment. Step 8 hands the 24 lb weight and the 90 C requirement to the installation SOP, where the box marking and the conductor temperature both get checked before anything is hung.
The vanity light fails at step 3. It carries no mark of any kind on the fixture, only a laboratory's name printed on the carton, which is not a listing of the product in front of you. The stop rule fires and the fixture is declined. Step 4 is run anyway for the record and reads 220 to 240 V at 50 Hz, which would have been a second, independent decline. Step 5 finds the fixture marked for dry locations only, going into a bathroom, which is a third.
Step 8 repacks it as found, names all three failed gates to the customer with photographs, and books a return. The existing vanity light was never taken down. The inspection took about a quarter of an hour across both fixtures. A return trip after an installed fixture fails costs at least two hours of paid technician time counting travel, so the gate paid for itself roughly eight times over on this one visit, and that is before anyone argues about who warrants the fixture.
