Ladder Mark or Dent Damage Claim Response Standard

Purpose

This standard guarantees that a ladder-mark or dent claim, whether raised on the spot or called in days after the crew has left, gets a physical inspection and an evidence-based determination before anyone commits to a repair, a denial, or a referral. A ladder-mark claim is different from damage the crew witnesses directly: by the time it reaches this procedure, the crew is often gone, the customer's memory of exactly where and when has softened, and the surface material decides whether the right answer is a five-minute wipe test or a specialty color-match referral. Skipping the physical inspection in favor of a quick apology, or a quick denial, is how a ten-minute finding becomes a repeat complaint.

Scope

Covers a customer claim that a ladder used during a gutter visit left a mark, dent, scrape, or discoloration on siding, fascia, or the gutter face itself, whether the claim is raised while the crew is still on site or called in afterward. Does not cover damage the crew itself discovers and reports before the customer notices anything, which the roof or landscaping damage during cleaning response standard owns. Procedure

  1. Get the claim into specific, locatable terms before dispatching an inspection. Ask what surface, roughly where on the elevation, and whether the customer can send a photo. Acceptance: a location description precise enough to find without guessing, such as an elevation and a landmark, or a customer photo on file. Wrong looks like dispatching a truck on "there's a dent somewhere on the side of the house." Stop rule: if the customer can't narrow the location and won't send a photo, the visit is still scheduled, not denied sight unseen, but as a standard inspection slot rather than an emergency dispatch. Hazard: none.

  2. On arrival, locate and photograph the alleged mark before discussing liability with the customer. Walk the elevation, find the specific spot, and shoot a macro photo of the mark plus a wide context shot. Pull up the job's own arrival photo for that elevation if one exists. Acceptance: the alleged mark is physically located and photographed at both distances; the arrival photo, if available, is compared on site. Wrong looks like a liability conversation happening before the mark has actually been found and photographed. Stop rule: if the exact spot the customer means can't be located from description alone, walk the full run again with the customer present, physically pointing; closing the visit as unable to locate without that joint walk is not permitted, and the visit is rescheduled with the customer present instead. Hazard: this inspection puts the tech back on a ladder at the same elevation, which inherits the shop's full ladder-setup requirement, the 4-to-1 angle, a stabilizer, and a spotter present; a second look is not exempt from that setup because it is brief.

  3. Classify the mark against four physical categories before assigning cause. A compression dent shows a rounded impression at consistent depth with no torn material. A scrape or gouge shows a linear mark with a torn or curled edge. Discoloration or chalk transfer shows a grey rubbing with no deformation. Weathering or hail pitting shows random distribution not aligned to any plausible tool contact point. Acceptance: the mark is named as one of the four categories with the physical evidence stated for that choice. Wrong looks like calling any visible mark a dent without checking whether it wipes off as residue. Stop rule: before concluding anything else, run a dry-cloth wipe test on a suspected chalk-transfer mark; if it comes off, the finding is no damage, residue only, and the claim closes on the spot without proceeding further. Hazard: none.

  4. Check the mark's height and position against where a ladder would actually have been footed for that job. A ladder set correctly at the shop's standard 4-to-1 angle stands off from the wall, roughly 6 feet out at a 24-foot working height; a mark tight against the wall right at grade is inconsistent with that footing and points either to a rail resting mid-height or to a different cause entirely.   5. Where causation is confirmed or reasonably likely, name the repair path by material rather than attempting a same-visit fix on a material the crew can't match. Vinyl scuffs generally polish out; a torn or cracked panel needs a color-matched replacement, which may require pulling stock from a low-visibility location or a special order since vinyl fades. Fiber cement takes a crack, not a dent, and painting over it without a proper cementitious patch fails within a season. Wood can sometimes have a compression dent steamed out; a torn or split board needs replacement. Aluminum coil stock generally can't be corrected to invisible and needs panel replacement to avoid a visible ripple. Acceptance: the repair path is stated as one of three outcomes only, polish or no repair needed, specialty color-match referral, or not correctable and replacement required. Wrong looks like a paint touch-up attempted on fiber cement or aluminum that visibly mismatches and generates a second complaint. Stop rule: any repair needing siding-specific tools, color-matched stock, or manufacturer parts the crew doesn't carry is not attempted on this visit; the referral is given in the same conversation, not as a we'll-look-into-it. Hazard: none.

  6. Resolve and state the outcome to the customer in person before leaving, whatever the finding. State one of three outcomes, confirmed damage, no damage found, or inconclusive, with the supporting photo shown, and name the next step with a date or "no further action." Acceptance: the outcome and next step are both stated aloud and match what's on the ticket. Wrong looks like leaving the customer believing something will happen when nothing has actually been committed to. Stop rule: an inconclusive finding still gets a stated next step, typically a second joint inspection or an insurance referral if the customer wants to pursue it; it is never left as a silent close. Hazard: none.

  7. Log the full determination chain before the ticket closes. Record the claim as originally reported, the location found, the mark classification and its evidence, the geometry check result, the repair path, and the customer conversation outcome. Acceptance: every field complete. Wrong looks like logging only the final outcome and losing the reasoning if the claim reopens later. Stop rule: same as this shop's standard logging requirement, the ticket does not close incomplete. Hazard: none.

The record this produces

The ticket carries the original claim as reported, the location found and both photos, the mark classification with its evidence, the ladder-geometry comparison, the repair path decision, and the stated customer outcome. A reader six months later, whether that's the office fielding a repeat call or an insurer reviewing a dispute, can reconstruct not just what was decided but why, from the same physical evidence the inspecting tech relied on.

Worked pass: a dent claim called in three days after a cleaning visit

A customer calls the office three days after a routine gutter cleaning, reporting a dent in the vinyl siding near the front door. She isn't sure exactly where and doesn't have a photo.

Step 1: office schedules a standard inspection slot rather than an emergency dispatch, since no location or photo is available.

Step 2: on arrival, the tech walks the front elevation with the customer, who points to a mark roughly 2 feet off the ground next to the entry step. Step 3: the mark shows a rounded impression, consistent depth, no torn vinyl. Classified as a compression dent, not chalk transfer, so the wipe test isn't the closing move here.

Step 4 fails. The mark sits at 2 feet off the ground, tight against the wall.
