End-of-Visit Cleanup and Walkthrough
Purpose
The walkthrough is the acceptance event. Everything before it is work; the walkthrough is where the work becomes accepted work, and anything the customer discovers after you drive away is a callback whether or not you caused it. Shops lose more margin in the last twenty minutes of a visit than in any other part of it, because that is where the reserved time gets spent on one more task instead of on closing the job.
This procedure guarantees that services are restored and proven, that nothing sharp or dusty is left in a house with children or animals in it, that anything the shop damaged is disclosed by the shop rather than found by the customer, and that the customer operates the work themselves before you leave. The failure it prevents is the visit that ends at the truck: everything works, nothing is written down, and three days later the shop is arguing about a scratch it did not make and a dead outlet it did.
Scope
Covers the closeout of any handyman visit, from stopping productive work through leaving the site, on both single-task and multi-task visits.
Explicitly not covered:
- Completing a punch list against a manager's written list, which is its own procedure with its own sign-off.
- Deciding what to do about additional work found during closeout. That routes to the work-beyond-scope authorization procedure, and finding something at closeout does not authorize doing it.
- Regulated cleaning verification in pre-1978 target housing, which is a certified renovator's step under the EPA rule and is not satisfied by ordinary cleanup.
- Final acceptance on a multi-visit job. This closes a visit. The job closes when the last visit does.

The procedure
Stop productive work at a reserved clock time, not when the task feels finished. A workable default, which each shop should tune to its own mix: reserve the greater of 20 minutes or 10 percent of the booked block, and put a timer on it. Acceptance: tools down at the reserved mark, with the remaining work written as an open item rather than squeezed in. Wrong looks like a tech starting a fourth task at the 90 percent mark because it "will only take ten minutes." Stop rule: the reserve is not spendable on production work, and a task that will not fit inside the block becomes an open item.
Restore every service you interrupted, then prove each one at a fixture or device you did not work on. Water back on at the main or the stop, then check every fixture on that branch including the ones you never touched. Breakers back on, then test every device on the circuit, GFCIs reset and tested with the test button, and any device downstream of one confirmed live. Acceptance: every fixture and every device on an interrupted branch operated once, by you, with the result noted. Wrong looks like checking only the fixture you replaced, which is why the dead bedroom outlet on the same circuit becomes a next-day call. Stop rule: a weeping joint, a stop that will not close, a GFCI that will not hold, or a dead device, you do not leave. Isolate that branch again and raise it under the work-beyond-scope procedure. Hazard: restoring service re-energizes and re-pressurizes everything you have been working around, so warn anyone in the space before you close the breaker or open the valve, keep hands clear of the fixture while the line refills, and stand clear of the panel face while operating the breaker.
Account for every tool, blade and fastener before anything gets covered up. Count blades and bits against what you opened, run a magnet over carpet and rug edges where you drove screws, and check under and behind furniture you moved. Acceptance: tool count matching what came in, no loose fasteners found on a magnet pass of the work area, drop cloths lifted and shaken outside rather than folded in place. Wrong looks like a snapped-off utility blade left on a windowsill in a house with a toddler. Stop rule: a missing blade or bit is searched for before anything else in this procedure continues, because the alternative is finding it in a foot. Hazard: sharps and small fasteners are the injury this step exists to prevent, and pets find them before people do, so sweep the floor plane deliberately rather than glancing at it.
Clean to the condition you found, using wet methods and a HEPA vacuum for any fine dust. Vacuum with a HEPA filter, wipe horizontal surfaces with a damp cloth, and never dry-sweep drywall, masonry or paint dust. Acceptance: no visible dust film on horizontal surfaces in the work area, debris bagged and removed or placed where the customer agreed, and the customer's own bin not filled without asking. Wrong looks like a shop vacuum without a HEPA filter, which discharges the fine fraction back into the room. Stop rule: dust that has travelled beyond the work area gets cleaned there too, before the walkthrough, not after the customer points at it. Hazard: sanding dust from drywall compound and masonry carries respirable silica, and in pre-1978 housing paint dust is presumed to carry lead, so wet methods and HEPA filtration are the control, and in pre-1978 work this cleanup does not substitute for the certified renovator's cleaning verification.
Disclose anything the shop damaged, before the walkthrough, in your own words. A scuffed wall, a chipped tile, a stripped screw head, a scratch on a floor from a ladder foot. Say what happened, what you did about it, and what the shop proposes. Acceptance: every mark the shop made named out loud and written on the ticket, whether or not the customer noticed. Wrong looks like touching up a scuff quietly and hoping, which turns a small credibility gain into a large loss when the touch-up flashes in daylight. Stop rule: damage the tech cannot resolve on the spot goes to the lead before you leave the site, not from the truck afterwards.
Have the customer operate the work themselves while you watch, item by item. They turn the faucet, they swing the door, they hang something on the bar, they run the fan through its speeds. Acceptance: every item on the work order operated by the customer, in front of you, with any comment recorded. Wrong looks like the tech demonstrating while the customer nods, which produces agreement rather than acceptance and finds none of the problems. Stop rule: any item the customer cannot operate comfortably or is unhappy with gets addressed now if it is inside scope, or written as an open item with a date if it is not.
Close in writing: what was done, what is open, and what the customer should watch for. One block: items completed, items open with the reason and the next date, any damage disclosed, and any condition the customer should call about, such as a new caulk joint that should not be wetted for the cure time on the tube. Acceptance: the block written on site, signed by the customer, or annotated "customer unavailable" with the time and how they will receive it. Wrong looks like writing it up back at the shop from memory, which loses the customer's own words on anything they raised. Stop rule: an open item leaving the site without a date gets the lead on the phone before the tech leaves.
The record this produces
The closeout block is the shop's version of what happened, written while the customer was standing there:
- Services interrupted and the proof each was restored, naming the untouched fixture or device used to prove it.
- Cleanup performed, and where debris went.
- Damage disclosed, what was done about it, and the customer's response.
- Items completed and operated by the customer, with anything they said about each.
- Open items, the reason, and the return date.
- Cure and use instructions given, such as caulk cure time or paint recoat window.
- Acceptance, signed or annotated as unavailable, with the time.
- Departure photographs of the work area, which is the counterpart to the arrival baseline and settles almost every condition dispute on its own.
Office invoices from this block and schedules the return from it. The lead reads it when a callback comes in, and the first question is always whether the item was operated by the customer at handover or only by the tech.
Worked pass: three-item visit, 4.0 hour block
Booked 4.0 hours: replace a lavatory faucet, install a towel bar, adjust a sticking bedroom door.
Step 1: the reserve is the greater of 20 minutes or 10 percent of the block, and 10 percent of 240 minutes is 24 minutes, so 24 minutes. Timer set, tools down at the 216 minute mark with all three tasks complete.
Step 2 failed, and it failed on a fixture nobody had touched. The house had been off at the main for the faucet, and on restoration the toilet's supply stop in the same bathroom began weeping at the packing nut. Nothing in the scope went near it; cycling the pressure on a stop that had sat undisturbed for years is what surfaced it. Stop rule fired: you do not leave a weeping connection. Fifteen minutes to snug the packing nut a quarter turn, wipe it dry, and watch it through two toilet fills, after which it stayed dry.
That put the clock at 231 minutes with 9 minutes of the block left and three items still to walk through, which realistically needed about 21. The tech called the office rather than skipping the walkthrough, and ran the visit to 252 minutes, 12 minutes past the block, about 5 percent over. That call is the whole point of having a reserve: it converts an overrun into a known overrun.
Steps 3 through 7 then ran as written. Magnet pass over the bedroom carpet turned up two drywall screws from the towel bar layout. HEPA vacuum and damp wipe in the bathroom, drop cloth shaken outside. One disclosure: a ladder foot had left a scuff on the bedroom baseboard, named before the walkthrough started, buffed out with the customer watching. The customer ran the faucet hot and cold, hung a towel on the bar and pulled down on it, and opened and closed the bedroom door four times, which is where she noticed it now clears the jamb but catches slightly on the strike. That was inside scope, took four minutes, and would not have been found by a tech demonstrating it himself.
Closed in writing: three items complete, no open items, the weeping stop disclosed as found and resolved with a note to watch it, and the visit's overrun explained. Departure photographs taken of all three areas.
Read back against the general section: step 2 requires proving restoration at a fixture that was not worked on, and this pass found its only fault there rather than at the new faucet. Step 6 requires the customer to operate the work, and the strike catch was found by her hand and not by the tech's.
