Trim and Baseboard Repair and Replacement

Purpose

Trim is a cover over a joint that moves. Base covers the gap between a floor that expands and a wall that does not, casing covers the gap between a jamb and a rough opening, and neither was meant to be a tight fit. That is why a re-caulked base opens again in February, and why a run nailed hard to a floating floor lifts the plank instead of holding the trim.

This procedure keeps three failures off the ticket: a nail through a cable stapled inside the bottom plate, a lead-dust event from prying and cutting painted trim in an older house, and a re-installed run that reopens next season because nobody asked whether the gap was seasonal.

Standing instruction: measure the gap before you pull anything, find framing and utilities before the first fastener, settle the pre-1978 question before the first pry bar, and cut the joints so they close with the season rather than against it.

Scope

Covers interior baseboard, shoe, casing, chair rail and crown in existing residential and light commercial rooms: gap diagnosis, removal, repair against replacement, cutting and fitting to out-of-square conditions, fastening, and fill and caulk.

Does not cover exterior trim and rot repair, which the exterior trim article owns; the scribing method itself, owned by the baseboard scribe article; corner joinery selection, owned by the mitred-versus-coped article; or any run whose removal is part of a paint disturbance in target housing built before 1978, which stops here and goes to its own SOP.

Procedure

1. Measure the gap at three points per run and write the season down. Take the gap at both ends and the middle of each run, note whether it opens at the top edge against the wall or at the bottom against the floor, and record the date. Acceptance: three readings per run in writing, each identified as top-edge or bottom-edge, plus indoor conditions if a hygrometer is on the truck. What wrong looks like: caulking a bottom-edge gap on a floating floor, which glues the plank to the trim and shows up as a peaked seam in the next humid month. Stop rule: gaps at the base combined with doors binding and drywall cracks running in a line is a building movement pattern, not a trim job, so it goes to the lead before any trim comes off. Hazard: none at this step beyond kneeling on a hard floor, so use a pad.

2. Find framing and utilities before the first fastener or pry bar. Mark every stud along the run and scan the full length for cable and pipe. Acceptance: stud marks at every framing member on the run and a scan pass recorded as clear, with any hit marked on the wall in pencil. Hazard in its own clause: branch-circuit cable feeding receptacles runs through the bottom plate and is often stapled shallow behind the base, and where a cable sits less than 1-1/4 in from the face of the framing the NEC requires a steel protection plate, so a 2 in finish nail into an unmarked stud is a live-circuit hit at ankle height with a hand on the gun. Stop rule: any cable or pipe inside the fastener zone stops the step; fit a steel nail plate over the member or relocate the fastener line above or below the cable, and record which you did. If that does not hold and a fastener does strike a cable, nobody touches the trim or the gun again until the circuit is opened at the panel and the damage is inspected by someone qualified to work it.

3. Settle the pre-1978 question before anything is pried, cut or sanded. Establish the build year from the customer, the tax record or the house itself, and treat unknown as pre-1978. Acceptance: a build year written on the ticket, and for target housing built before 1978 the work stops here. Hazard, both routes: prying, cutting and sanding painted trim makes lead dust that is inhaled during the work and swallowed afterwards from hands, tools and the customer's floor, so this is a respirator-and-hygiene control, not a glove one, and containment plus wet cleanup protects the occupant while handwashing before eating or using a phone protects the tech. Stop rule: pre-1978 target housing routes to the pre-1978 paint disturbance SOP and the certified renovator lane under 40 CFR Part 745 Subpart E; a handyman without that certification does not open the trim.

4. Remove the run without destroying the trim or the wall. Cut the caulk line at the wall with a knife, work a stiff putty knife behind the trim first, then a pry bar against a wide block, and pull the finish nails through the back face with nippers. Acceptance: trim off in reusable lengths with the paper face of the drywall intact and no nail heads punched through the front. What wrong looks like: levering directly against drywall, which crushes the paper and turns a trim visit into a patch-and-paint visit. Stop rule: trim that splinters on the second attempt is being pried at the wrong point, so move the bar to a stud location rather than pulling harder. Hazard: a released pry bar and buried finish nails both come at the hand and the eye, so wear eye protection, keep the free hand off the path of the bar, and stand removed lengths against a wall with the nail side inward rather than face-up on the floor.

5. Make the repair-against-replace call against stated criteria. Replace the run rather than repairing it when the profile is split through at more than one fastener, when the back is swollen or crumbling from water, when more than about a quarter of the run's length is damaged, or when the removed piece will not sit flat against the wall again. Acceptance: the criterion that decided it named on the ticket, and for a partial replacement the profile matched by taking a sample to the supplier rather than by eye. What wrong looks like: patching a swollen MDF base at a dishwasher leak, which reabsorbs and swells again because the substrate was never dry. Stop rule: a profile the supplier cannot match turns a repair into a whole-room decision and goes back to the customer before anything is cut. Hazard: none at this step, it is a decision made with a tape and a sample.

6. Cut and fit to the room you have, not to the room the drawing assumes. Cope inside corners, mitre outside corners, scarf long runs at 45 degrees over a stud, and scribe the bottom edge where the floor falls away. Acceptance: joints closing within about 1/32 in with hand pressure and no daylight visible at standing distance, and every scarf landing on framing. What wrong looks like: mitring an inside corner in a room that is not square, which opens on the outside of the joint as soon as the wood moves. Stop rule: a corner reading more than about 2 degrees off square gets coped or its mitre split from the actual measured angle, not forced closed with fasteners. Hazard: cutting and sanding MDF releases a fine wood dust whose resin system is formaldehyde-based, so cut outdoors or with dust extraction at the saw, keep the customer out of the cutting area, and treat it as an inhalation exposure rather than a nuisance; if extraction is not available, the cutting moves outside rather than proceeding without it.

7. Fasten, fill, caulk the right edge only, and restore what you removed. Drive fasteners into framing at every marked stud, set the heads below the surface, fill nail holes and joints, then caulk the top edge to the wall and leave the bottom edge free. Acceptance: no fastener in a marked utility bay, filled holes flush after shrinkage, a continuous top-edge bead, an unfastened and uncaulked bottom edge over any floating floor, and every register, vent cover and receptacle plate you removed refitted and confirmed live. What wrong looks like: a bottom-edge bead over laminate, which is the same fault as step 1 arriving one step later. Stop rule: trim that will not pull tight to the wall over a bow is not a fastening problem, so shim or plane the back rather than driving more nails. Hazard: a pneumatic or cordless finish nailer will fire on contact if the trigger is held, so run it in sequential mode, keep the free hand a hand's width clear of the fastener line, and never rest the nose on a limb while carrying it.

The record this produces

Three gap readings per run with the date and season taken, the build year, the scan result and the location of any nail plate fitted, the criterion that decided repair against replace, the profile and species installed, and the list of covers and plates removed and refitted.

The office reads the season and the gap set when the customer calls in the opposite season, because a joint that opened in winter and closed in summer is wood movement and not a workmanship claim. The next tech reads the nail plate location before putting a fastener anywhere near it. The owner reads build years in aggregate, because a service area heavy in pre-1978 housing is a certification decision rather than a job-by-job stop.

Worked pass: 34 ft of base in a 1994 living room, gaps at the top edge

Complaint: base pulling away from the wall on one side of the room.

Step 1: three runs, 14 ft, 12 ft and 8 ft, so 34 ft total and 9 readings. The 14 ft run measured 3/16 in at the middle and 1/16 in at both ends, all at the top edge against the wall. The other two runs read 1/16 in or less at all six of their points. Nothing at the bottom edge anywhere. Date and a 38 percent indoor reading recorded. No door binding and no drywall cracking, so the step 1 stop rule did not fire.

Step 3 ran early because it gates the work: the customer's closing paperwork gave a 1994 build, which is after 1978, so the pre-1978 lane did not apply and that was written on the ticket rather than assumed.

Step 2 FAILED. Stud marks came up at 11 locations along the 14 ft run at 16 in centers. The scan then flagged cable behind the base about 11 in left of the receptacle at the middle of that wall, in the same horizontal band the finish nails would take. Under the step's own stop rule the tech stopped rather than guessing at depth: the base came off at that section by hand, the cable was found stapled to the face of the plate well inside 1-1/4 in, and a steel nail plate was fitted over the member. The fastener line for that bay was dropped below the cable, and the location was pencilled on the framing and written on the ticket.

Step 4: caulk line cut, trim off in three reusable lengths, drywall paper intact. Step 5: the 14 ft run was sound with no splits and no swelling, so it was refitted rather than replaced.

Step 6 explained the gap. The wall bowed outward at the middle, which is why the 3/16 in reading sat in the center and the 1/16 in readings sat at the ends. The back of the base was relieved with a plane at the bow rather than pulling the trim to the wall with more fasteners.

Step 7: fasteners at the 11 marked locations minus the flagged bay, which took its fasteners below the cable line; holes filled and sanded; a continuous top-edge bead; the bottom edge left free over the engineered floor; the receptacle plate refitted and the receptacle confirmed live before leaving.
