A2L Service Readiness and Tool Inventory
Purpose
A truck is either equipped for a mildly flammable refrigerant or it is not, and that question has one answer per tool, decided by a listing mark rather than by how careful the tech intends to be. This procedure makes readiness a load-out check with a pass or fail on it, so the decision happens in the shop yard where the answer is "take the other van" rather than in a mechanical closet where the answer is "it is probably fine."
The failure it prevents is already in the field. A tech arrives at an R-454B condenser, finds a leak, and reaches for the recovery machine that has been on that truck for six years. It moves refrigerant, it sounds normal, and nothing announces that its motor, switches and wiring were listed for a nonflammable refrigerant only. Nothing goes wrong that afternoon. The exposure was real anyway, and the shop could not see it because nobody had written down what the truck should carry.
Scope
Covers the equipment, instruments and consumables a residential and light-commercial truck must carry before dispatch to an appliance charged with an A2L refrigerant, plus the shop-side audit that keeps that list true. Applies to R-32, R-454B, R-454A, R-454C, R-455A, R-452B, R-1234yf and any other refrigerant the edition of ASHRAE Standard 34 referenced by your adopted mechanical code classifies A2L.
Does not cover recovery practice, cylinder transport, brazing on an A2L system or charging one, each of which has its own SOP. Does not cover EPA Section 608 certification, which is a licensing matter rather than a load-out item, though nothing below substitutes for it.

Procedure
1. Establish the refrigerant designation and its safety class before anything is loaded. Read it off the data plate, off the work order where the office captured it, or treat the call as unknown. Model year and brand are not the answer: a manufacturer ships the same cabinet with R-410A one season and R-454B the next. Acceptance: an R-number on the ticket plus the class letter from the edition of ASHRAE Standard 34 your mechanical code references. Stop rule: an unknown designation dispatches as A2L until the plate is read on site, because loading for the stricter case costs minutes and the looser one cannot be undone from a driveway. Hazard at this step: none, a decision at a desk.
2. Confirm the recovery machine is listed for flammable refrigerants and that the listing covers the refrigerant in hand. Read the nameplate and the listing mark on the machine, not the sales sheet. A2L recovery equipment is evaluated to the flammable-refrigerant provisions of UL 1963, in the edition the unit was listed to, which binds the manufacturer and reaches you through that mark. Acceptance: a legible mark plus the refrigerant in hand on the machine's approved list. What wrong looks like: a machine whose list stops at R-32 running on R-454B. Stop rule: no listing, no recovery. Hazard at this step: the machine may still hold refrigerant under pressure from the last job, so read its gauges and do not crack a port to see a label behind it.
3. Confirm the leak detector responds to the refrigerant you are going to look for. Sensors developed for chlorinated and older halocarbons do not necessarily respond well to R-32 or the HFO fraction of the blends built on it, so the specification sheet has to name the refrigerant. Bump-test against a known source before you leave. Acceptance: an alarm on a calibrated leak standard, which is the default because it puts no refrigerant into the air. Where a deliberate small release at a known point is used instead, it happens outdoors and upwind with no open flame, no torch, no running engine and no unrated electrical device within the release area, and what you let go is governed by 40 CFR Part 82 Subpart F. What wrong looks like: alarming on everything at maximum sensitivity, a broken instrument that sends you chasing a joint that is not leaking. Stop rule: no response, and the sensor is replaced or the detector swapped before dispatch. Hazard at this step: bump-testing releases refrigerant, so it happens outdoors or under local exhaust, never in a closed bay.
4. Confirm the vacuum pump's exhaust has somewhere to go that is not the room you will stand in. A pump pulling on a system holding a trace of A2L discharges that trace out of the exhaust port with the oil mist, and the pump's motor is an ignition source a few inches away. Acceptance: either a pump listed for flammable refrigerants, or an exhaust hose long enough to reach outdoors from where the work happens. What wrong looks like: a pump running on a small closet floor with the door pulled to. Stop rule: no exhaust path and no listed pump, no evacuation on that call. Hazard at this step: the exhaust is hot, the oil mist is an inhalation and slip hazard, and a pump that has run burns through a thin glove for minutes.
5. Confirm the hoses, core tools and charging connections are rated for the refrigerant and will physically connect to an A2L cylinder. Hoses carry a working pressure and a compatibility marking on the crimp band. Many A2L cylinders ship with a left-hand-thread valve outlet, the long-standing flammable-gas convention, there so an A1 hose set will not connect. Acceptance: hose ratings legible and adequate for the system's high-side test pressure, and the correct left-hand adapter in the kit. What wrong looks like: a thread chased with a die so it takes the old hose. Stop rule: an adapter modified to fit is destroyed, not set aside. Hazard at this step: hoses hold liquid refrigerant after a job and liquid freezes skin, so gauntlet gloves and sealed eye protection go on and you stand out of line before a fitting is broken. The vapor is also an inhalation route the gloves do nothing for: a release in an enclosed equipment room settles low and displaces the oxygen you are breathing, so the space is ventilated and evacuated on any release rather than worked through, and re-entry is on an instrument reading.
6. Inventory what on the truck can ignite a released charge, and decide what stays in the van. Walk the kit as an ignition-source list rather than a tool list: torch and striker, a droplight not rated for the location, a shop vacuum, a portable space heater, tool chargers, any cord that lands on a mechanical room floor. Acceptance: a written list of what goes inside the work area with a reason each item is needed or excluded. What wrong looks like: a heater running in a small equipment room in January because the tech was cold. Stop rule: the torch and any open-flame device stay outside the work area until the brazing SOP's gating steps are satisfied. Hazard at this step: A2L vapor is heavier than air and settles low, so a floor-level ignition source and a floor-level release find each other. Refrigerant that reaches a flame or a hot surface decomposes to hydrogen fluoride and carbonyl fluoride, which is a reason to leave the space, not a reason to hold your breath; re-entry is on an instrument reading.
7. Confirm the personal and area gear is present and current. Gauntlet gloves, sealed eye protection, a portable extinguisher suited to the space and in date, and whatever the appliance's service literature specifies. Acceptance: every item physically in the van, extinguisher gauge in the charged band, tag current. What wrong looks like: an extinguisher rolling loose behind the seat with an unreadable tag. Stop rule: an out-of-date or discharged extinguisher is swapped before the truck leaves. Hazard at this step: an extinguisher is a pressure vessel and an unsecured one becomes a projectile in a hard stop, so it goes in a bracket.
8. Sign the check and post it where the next person can see it. The completed check goes on the truck's readiness tag and into the shop record the same day, with the date, the tech, and any failed item. Acceptance: a dated tag naming the truck, the tech and the result. What wrong looks like: a tag that has read PASS since spring, which tells you the audit stopped rather than that nothing changed. Stop rule: a truck with a failed item does not take A2L work until the item is replaced and the check re-run, and the service manager owns that call. Hazard at this step: none, paperwork at the truck, but skipping it lets a failed item stay in service.
The record this produces
One readiness record per truck per audit cycle, and one A2L flag per ticket.
The truck record names the truck, the date, the tech, and a pass or fail for each of the seven physical checks above, with the model and listing mark of the recovery machine, the detector and its bump-test result, and the pump exhaust arrangement written out rather than ticked. The ticket record carries the refrigerant designation, its class, and whether the truck had a current passing check.
The shop lead reads the fail column across the fleet, because the same item failing on three trucks is a purchasing problem and not three tech problems. And the shop reads it backwards after a release event, when the only useful question is what was on that truck and whether anybody had checked.
Worked pass: quarterly audit across a four-van fleet
Four vans audited over one morning, roughly 25 minutes each.
Step 1 ran against the dispatch board rather than one ticket, since this was a shop audit: of the 31 A2L-designated appliances in the equipment history, 24 were R-454B and 7 were R-32, so both had to appear on every machine's approved list.
Step 2 FAILED on van 2. The machine carried a legible listing mark and the tech nearly passed it on that alone. The approved refrigerant list on the nameplate showed R-32 present and R-454B absent, so the machine was listed to a narrower scope than the fleet now services. Under the stop rule it does not recover R-454B, which is 24 of the 31 A2L appliances on the board, so van 2 came off A2L dispatch that morning rather than being allowed to run the remaining 7 R-32 calls case by case. Steps 3 through 7 ran on van 2 anyway, because a truck with one failed item still needs the rest of the list known. Detector bump-tested clean on an R-454B source, literature naming both refrigerants. The vacuum pump was not a listed flammable-refrigerant pump and its exhaust hose measured a little over 3 ft, which does not reach outdoors from the middle of a typical closet, so that became a second finding and a longer hose was cut the same day. Hoses read 800 psi working pressure on the crimp band, adequate for this fleet's high-side test pressures, and the left-hand adapter was in the kit. The ignition list turned up a non-rated droplight, removed and replaced. Extinguisher charged, tag current, in its bracket.
Vans 1, 3 and 4 passed step 2 with both refrigerants listed. Van 4 failed step 3: the detector alarmed continuously at its highest sensitivity with no source present, which that step names as a broken instrument rather than a pass, so its sensor was replaced and re-bump-tested before the van left.
Two step failures on two of four vans, plus two additional findings on van 2. Both failures were on items physically present and apparently serviceable, which is the argument for reading the nameplate rather than the shelf. Van 2 returned to A2L dispatch nine days later when the replacement machine arrived, with a new dated tag; van 4 was back that afternoon.
