Equipment Handover Walkthrough With the Customer
Purpose
The handover is where the system stops being the installer's and starts being the owner's, and almost every first-season callback on new equipment traces back to something that was never demonstrated: a filter installed backwards, a thermostat left in the wrong mode at changeover, a float switch that shut the system down and looked like a failure. It is also where the manufacturer's registration window starts running. A shop that skips the walkthrough absorbs both costs, the truck rolls that were really training, and the parts claim denied a year later because nobody registered the equipment inside the term on the certificate.
Scope
Covers the walkthrough at the end of any equipment installation or changeout on residential and light commercial systems: emergency shutoffs, filtration, thermostat operation, condensate protection, warranty registration, coverage explanation and the maintenance appointment.
Does not cover commissioning itself, which is complete before this begins and which the charge and evacuation SOPs own. Does not cover the sale or the proposal. It also does not settle what the paperwork legally proves, which is a question for the shop's own attorney; what this procedure delivers is a dated record of what was demonstrated and to whom.

Procedure
1. Do not open the walkthrough until commissioning is finished and the system is running in the mode the customer will actually use. Charge verified and recorded, airflow measured, safeties proved, panels on, area cleaned. Acceptance: the system has run through a full cycle in front of you in the current season's mode. What wrong looks like: handing over a system in fan mode in October and calling it done, which means the first heating call is the commissioning run and the customer is the one doing it. Stop rule: an incomplete commissioning record means the walkthrough is rescheduled, not compressed, because a walkthrough given over an unfinished install trains the customer on a system that is about to change.
2. Capture registration data at the equipment and start the clock the same day. Photograph every data plate, record model and serial for each piece, and note the installation date. Acceptance: model and serial captured for outdoor unit, indoor unit and any accessory, legible in the photo, plus the registration window from that brand's warranty certificate. Extended parts terms are commonly conditioned on registration within 60 to 90 days of installation, and the certificate for that brand and that state governs rather than the last brand you did. Stop rule: an unreadable serial does not get guessed; get the distributor to resolve it from the shipping record before the office submits.
3. Walk every emergency shutoff and have the customer operate each one themselves. Outdoor disconnect, indoor service switch, breaker location, and on any gas appliance the manual gas shutoff. Acceptance: the customer physically operates each device with you watching and can find it again unprompted. Hazard in this step: teach the disconnect as a hand-operated pull-out worked from the side with the cover left alone, and teach the gas response as a fixed sequence rather than a judgment: if anyone smells gas, everyone leaves the building immediately, no switch is touched, no light is turned on, no phone is used inside, and the call is made from outside to the gas utility. Stop rule: a shutoff that is unlabeled, labels the wrong unit, or does not kill what it claims to, is corrected before the walkthrough continues.
4. Demonstrate the filter and have the customer remove and reinstall one. Show location, nominal size, airflow arrow direction, how the door or grille latches, and the change interval you are recommending. Acceptance: the customer takes the filter out and puts it back correctly, arrow pointing toward the blower, with the door latched. Hazard in this step: the system is switched off at the service switch before the filter door opens, because a call can start the blower while a hand is inside the cabinet. What wrong looks like: a filter size the customer cannot buy locally, which is a real finding on odd media cabinets. Stop rule: write the exact size on a label at the cabinet and on the handover sheet, and if it is a special order, say so now rather than letting them discover it.
5. Have the customer run the thermostat through the three things they will actually do. Change setpoint, change mode at seasonal changeover, and override or hold a schedule. Acceptance: the customer performs all three unaided while you watch. Explain the compressor time delay so a system that does not restart instantly is not read as a fault, and explain what auxiliary or emergency heat means on a heat pump and why leaving it on costs them. What wrong looks like: you demonstrating while they nod, which produces a confident customer and a callback in week two. Stop rule: if they cannot do all three, do it again rather than leaving a printed guide behind as a substitute.
6. Show the condensate protection and what a shutdown on overflow looks like. Point out the drain, the pan, and the float switch, and explain that a cooling system that stops with the thermostat calling may be the switch doing its job rather than a breakdown. Acceptance: the customer can say what they will do if the system stops in summer, which is call rather than reset anything. Hazard in this step: tell them plainly not to bypass, jumper or hold a float switch to get cooling back, because the switch is the only thing standing between a blocked drain and their ceiling. What wrong looks like: a customer who has been shown a reset button and will use it.
7. Explain coverage in the three parts customers actually get wrong. Parts, labor and refrigerant are usually covered on different terms; the maintenance the certificate requires is a condition, not a suggestion; and the registration window is a deadline. Acceptance: the customer can repeat back which of the three has the shortest term on their equipment. What wrong looks like: saying "it's a ten year warranty," which the customer will hear as ten years of free repairs including the visit. Stop rule: do not answer a question about what the manufacturer will pay in a specific future scenario; say what the certificate says, hand them the certificate, and route anything beyond that to the office rather than making a commitment on the driveway.
8. Sign, leave the documents, and set the first maintenance visit before you leave the property. Walk the handover sheet line by line, have the customer sign it, leave the manuals and the certificate, and book the first maintenance appointment on the spot. Acceptance: a signed sheet with a booked date on it, and copies left with the customer. What the signature gets the shop is a dated record that the demonstration happened and what it covered; whether it proves anything further is a legal question for the shop's own attorney, so do not describe it to the customer as a waiver of anything. Stop rule: a customer who declines to sign still gets the walkthrough and the documents, and the tech notes the declination with the time rather than pressing.
The record this produces
The handover sheet carries: model, serial and installation date for each piece of equipment, with the data plate photos attached; the registration window from the certificate and the date the office submitted, plus the confirmation reference; each shutoff, its location and the note that the customer operated it; filter size, location, orientation and recommended interval; the three thermostat operations, each marked as performed by the customer; the condensate demonstration; the coverage points covered; the customer's signature or a noted declination; and the booked maintenance date.
The office reads it to submit the registration and to build the maintenance schedule. The next tech reads the filter size and shutoff locations before they are standing in a dark closet looking for a switch. And on a denied parts claim, the sheet plus the registration confirmation is the difference between an argument and a submission, because the two things manufacturers deny on most often are registration outside the window and maintenance that was never documented.
Worked pass: duplex, two condensers side by side, upper unit changeout
Full changeout of the upper unit's condenser and coil in a two-unit duplex. Lower unit's equipment sits three feet away on the same pad, same brand, similar vintage.
Commissioning was complete, charge weighed and verified, system run through a full cooling cycle with the owner present. Data plates photographed, model and serial legible for both indoor and outdoor units, installation date recorded, and the certificate for that brand read on site: extended parts term conditional on registration within 60 days.
Step 3 FAILED. The owner was asked to go to the outdoor disconnect and pull it. She pulled the one nearest the new unit, which is the one anybody would pull, and the new condenser kept running while the downstairs tenant's unit went quiet. Both disconnects carried faded labels, and they were correct for the original layout, which had been changed at some point in the past. Under this step's stop rule that halts the walkthrough. The tech restored the tenant's unit immediately, verified which disconnect served which unit with a meter rather than by ear, and relabeled both with printed, weather-rated labels before the walkthrough continued. The service manager was called because the mislabel had existed before this job and was a found condition on shared equipment, and the downstairs tenant was told directly.
That failure is worth more than the rest of the visit. The situation the label creates is a tech or a homeowner opening a live condenser they believe is dead, at a moment when nobody is running a proving sequence because the disconnect is right there and it is pulled. It also cannot be discovered by anyone who demonstrates the shutoff themselves, because the tech knows which unit is which and would have pulled the correct one without noticing the label was wrong. The customer operating it is what found it.
The rest ran clean. The owner removed and reinstalled the filter with the arrow toward the blower, and the size went on a label at the cabinet because it was a 5 inch media size she would need to order. She performed all three thermostat operations unaided on the second attempt, having reversed heat and cool on the first. The float switch was shown with the instruction not to bypass it. Coverage was walked, and she correctly repeated back that labor carried the shortest term on her equipment. Sheet signed, documents left, first maintenance visit booked for the following spring before the truck moved.
