Job Photo and Reading Record on an Install
Purpose
Most of what a shop needs to prove about an install stops being visible partway through the install. The line set penetration disappears behind a patch, the duct connection disappears under insulation, the attic decking under the air handler disappears under a unit that weighs more than one person can lift. A photo set assembled at the end of the day is missing exactly the frames that answer the later question, because those were only available for about twenty minutes. A dated frame taken before the demo is a record of the condition you found, which is what answers the question when it is asked; whether it proves anything in a proceeding is a question for your own attorney, and a frame filed against the wrong job is worse than no frame, because it puts your whole set in question. This procedure keys the shot list to points of no return rather than to the end of the job, so that the record exists whether or not anyone later remembers to want it.
Scope
Covers the photographic and instrument-reading record for equipment installs and changeouts on residential and light commercial systems: pre-existing conditions, concealed work, code-facing details, commissioning readings, and the finished state.
Does not cover the commissioning procedure that produces the readings, or the warranty registration that consumes them; the startup paperwork SOP owns the identity block and the registration filing. Does not cover the customer walkthrough, which is its own SOP and happens after this record is complete.

Procedure
1. Pull the shot list for this job type before the truck leaves the shop. Acceptance: a written list of named frames matching the sold scope, in the tech's hand, with a count. A changeout with a new line set is a different list from a coil-only swap. What wrong looks like: a crew working from "take plenty of pictures", which reliably produces forty frames of the finished equipment and none of the wall cavity. Stop rule: no list, no start; dispatch supplies it. Hazard: none at this step, it is a load-out decision made at the shop.
2. Shoot the pre-existing condition set before any tool touches the equipment. One wide frame of the whole work area, one of each existing unit including its rating plate, one of the floor and wall surfaces along the carry path, and one of any damage that already exists: a stained ceiling, a cracked pad, a scarred stair nose. Acceptance: every named frame present and timestamped before the first fastener comes out. What wrong looks like: the demo starts, then somebody photographs the mess, which documents nothing except that a mess exists. Stop rule: nothing is disconnected until the before set exists, because this is the only set that can never be recovered. Hazard in this step: these frames put a body in an attic or crawlspace before any work platform is built, so movement is on the joists or on laid decking only, the light is on before entry rather than found in the dark, and nobody steps between joists onto a ceiling that will not hold them.
3. Shoot each concealed element in the twenty minutes it is visible. Line set and its penetration through the wall before the patch, condensate routing above a finished ceiling before the tile goes back, duct takeoffs and their seal before insulation, whip and conductors at the disconnect before the cover, gas piping and its sediment trap before any drywall repair. Acceptance: one frame per concealed element with something of known size in it, a tape or a fitting, so a later reader can judge distance rather than guess. What wrong looks like: the record showing a finished wall where the code detail used to be. Stop rule: nothing gets covered until its frame exists, and if something was covered anyway, the office records the gap as a gap rather than substituting a similar frame from another job, because a mislabelled photo is worse than a missing one. Hazard in this step: reaching into a cavity to position a light or a tape puts a hand past cut sheet metal edges and, in older construction, into unidentified insulation; wear gloves, and unidentified loose fill may be vermiculite, so it is left alone pending testing rather than disturbed to improve the shot, with the frame recorded as unavailable rather than taken.
4. Shoot the code-facing details with a tape in the frame. Clearance to combustibles at the appliance, the disconnect in sight of the unit, the working space at the electrical panel, the service platform and its access, the vent terminal and its distance to the nearest operable window, door or gravity air inlet, and the condensate overflow provision. Acceptance: the number readable off the tape in the photo, not asserted in a caption. Vent terminal clearance comes from NFPA 54 / ANSI Z223.1 in the edition your jurisdiction has adopted, plus the manufacturer's instructions where those are more restrictive; mechanical draft terminals and direct vent terminals sit on different clearance scales, and direct vent clearances step with the appliance input rating. What wrong looks like: a photo that shows the terminal but nothing to measure it against, which proves it exists and nothing else. Stop rule: a dimension that does not meet the adopted table stops the close-out, gets phoned to the service manager, and is corrected or quoted before the customer signs. Hazard in this step: measuring at a vent terminal puts a face near an appliance that may fire on a call while you are there, so the appliance is off at the switch for the measurement, and a personal carbon monoxide monitor is in your breathing zone for any reading taken at a vent terminal on an appliance that can fire; where it cannot be shut off, the tape is held from beside the terminal, never across it.
5. Photograph each instrument at the point of measurement rather than transcribing it. Manifold or digital gauges on the ports, the manometer with its probe location in frame, the combustion analyzer display, the clamp meter on the conductor it is reading. Acceptance: the display legible and the measurement point identifiable in the same frame, for every value the startup sheet demands. What wrong looks like: a clear photo of a gauge set on the tailgate, which records a number attached to nothing. Stop rule: an unreadable display is re-shot before the leads come off, not after. Hazard in this step: these frames are taken on running equipment with panels open, so the phone is held with one hand well clear of the blower housing and of any moving belt. Where a cover has been removed to expose energized parts, the frame is taken under 29 CFR 1910.333(b)(2) by a qualified person under 1910.332 and 1910.399, from outside the approach boundary, with no part of the phone or the hand crossing the plane of the opening, or the reading is photographed on the instrument's own display away from the equipment. On a firing appliance a personal carbon monoxide monitor is worn for the whole time spent at the analyzer rather than only during the flue sample.
6. Shoot the finished state and the label set. Each unit as left, the equipment label with the shop's name and date, the service sticker, the breaker or fuse identification at the panel, and one wide frame showing the work area returned to condition. Acceptance: the shop label legible in its frame, and the wide frame comparable to the step 2 wide frame from roughly the same position. What wrong looks like: a finished frame taken from a flattering angle that cannot be compared to anything. Stop rule: no comparable wide frame, no close-out. Hazard: none at this step if the equipment is off; if it is running, the same clear-of-the-blower rule from step 5 applies.
7. Name and file the set against the equipment serial the same day. Acceptance: the set filed under the outdoor unit serial with each frame carrying its element name, and a count matching the step 1 list. What wrong looks like: a folder named by street address, which fails the moment that address gets a second system. Stop rule: an unnamed dump does not count as filed and goes back to the lead. Hazard: none at this step, it is a desk task.
8. Have a second person check the set against the list before the job closes. Acceptance: every listed frame present or explicitly marked missing with a reason, signed by someone who was not on the install. What wrong looks like: the installer checking their own work, which reliably passes. Stop rule: a missing concealed frame is escalated to the service manager, who decides whether a return before finish work is possible or the gap is recorded permanently. Hazard: none at this step.
The record this produces
One photo set per system, keyed to the outdoor unit serial, with a named frame for each of: pre-existing condition wide and per-unit, each concealed element, each code-facing dimension with its measured value visible, each instrument reading at its measurement point, the finished state, and the label set. Alongside it, the completeness check with the checker's name and any frame marked missing.
The office reads it when an inspector asks about a detail that is now behind drywall. The service tech reads it in year three when a line set is suspected and nobody wants to open a wall on a guess. And the shop reads it once, badly, in the week a customer says the ceiling stain was not there before, at which point the step 2 wide frame is what answers it.
Worked pass: furnace and coil changeout with a new sidewall vent
Single family home, gas furnace replaced with a condensing unit vented out a sidewall, coil and line set replaced, work in a basement mechanical room. Shot list called for 19 frames.
Steps 1 through 3 ran clean. Before set taken with the old unit still connected, including one frame of a stain on the finished ceiling below the return, which nobody would have remembered by Thursday. Concealed frames taken as each element came available: the wall penetration with a tape across it, the duct takeoffs sealed and photographed before insulation went on, the whip at the disconnect with the cover off.
Step 4 FAILED. The sidewall vent terminal was set where the old atmospheric vent had exited, and the tape in the frame read 30 in of horizontal clearance to an operable window. Against the mechanical draft clearance in the adopted edition of NFPA 54, which the office had on the bench as 4 ft to a door, window or gravity air inlet for this appliance and vent type, 48 in required minus 30 in measured leaves the terminal 18 in short. That is the number the photo produced, and it is a number nobody would have produced from a caption reading "vent terminated at sidewall". Under this step's stop rule the close-out stopped and the service manager was phoned from the basement. The vent was re-routed to a new penetration the same day, re-measured at 58 in, and re-shot with the tape in frame; both frames were kept, the failing one labelled as the found condition rather than deleted.
Steps 5 through 8 then ran. Instrument frames captured on the running system with the analyzer display legible and its probe visible in the flue, gauges on the ports, manometer probe location in frame. Finished set taken from the step 2 positions, filed against the serial the same evening. The second-person check found 19 of 19 listed frames present plus the two vent frames, 21 filed against a list of 19, and the extras were annotated rather than dropped.
