Smart Thermostat Setup and Customer Handover
Purpose
This standing instruction guarantees that a connected thermostat leaves the site enrolled under the customer's own account, with every remote behavior set to a written value, and with remote control proven by watching what energizes at the equipment rather than what the app claims.
An account created in a technician's email hands your shop a permanent liability: every password reset and every home sale routes through your office for the life of the device, and the customer cannot remove you without a factory reset that wipes the installer menu. The second failure is quieter. A device onboarded in the driveway on a phone beside the router gets handed over as "remote works," and the customer finds out weeks later that it drops off every evening.
Safety actions that gate this procedure
- Any step that sends you to watch what energizes means the blower door comes off an energized cabinet, where line voltage and the 24 V board sit inches apart. That work is governed by 29 CFR 1910.333(b)(2) and is written for a qualified person under 1910.332; if nobody on site is qualified, the observation waits.
- A remote setpoint change starts a compressor and a blower with nobody at the unit. Cabinet closed, panels on, no hand inside, and everyone in the household accounted for and clear of the indoor cabinet and the outdoor unit, before you issue one.
- Where the system includes a fuel-fired appliance, a personal carbon monoxide monitor is switched on and on your body before any observation that starts a heat call, and it stays on until you leave. The house alarm is sited for sleeping occupants and is not your instrument. Any sustained reading stops the visit and the appliance is shut down.
Scope
Covers wireless-connected thermostats on residential and light-commercial conventional, heat pump and dual fuel systems: account creation, network onboarding, remote feature configuration, remote sensors, handover.
Does not cover the hardware replacement, the installer menu or the mode-by-mode equipment test, all owned by the thermostat replacement SOP and signed off before step 1. Does not cover proprietary communicating platforms, zoning panels, or the shop's alert program, which the remote monitoring SOP owns.

Procedure
Confirm the equipment-side configuration sheet is present and signed before you touch the network. Acceptance: a value in every field - equipment type, stage count, reversing valve convention, auxiliary lockout, minimum off time - and a dated mode observation carrying supply and return temperatures. Stop rule: blank fields and this procedure does not start; a connected schedule over an unverified installer menu makes the resulting complaint impossible to attribute. Hazard: none here, a records check at the customer's table with the cabinet closed.
Check whether the device is already bound to another account, and treat a factory reset as a configuration event. Refurbished, contractor-stock and customer-supplied devices often arrive enrolled. Acceptance: no existing owner shown, or a reset done with the step 1 sheet in hand and every installer value restored from it. Wrong looks like resetting to clear an old account and handing over: on most platforms a reset returns the installer menu to defaults, silently reverting the reversing valve convention and the auxiliary lockout. Stop rule: after any reset, re-run the heat and cool observation at the equipment; if you cannot reach the equipment, do not reset. Hazard: that re-observation happens at an open energized cabinet under the gate above and it starts the compressor, so confirm no hands are in the unit first, and on a fuel-fired system the personal CO monitor is on your body before the heat call starts.
Create the account in the customer's name, with the customer typing their own password. Add your company through the platform's contractor or shared-access path and show them the revoke button first. Acceptance: the account email is theirs, your shop holds no copy of the password, and your access is revocable by them. Stop rule: customer absent or unwilling, and you hand over on full local control with the card noting remote features were not enabled. Hazard: none here, desk work.
Read the wireless signal at the thermostat, not at the router. Acceptance: a recorded figure, in whatever units that model reports, at or above the level its installation guide calls acceptable, taken with the wall plate mounted. Wrong looks like a strong reading on a phone in the hallway, which measures the phone's radio. Stop rule: below the stated level, do not enroll and do not promise remote features; the fix is an access point placed by whoever owns the network, which is a referral, not a change you make on their router. Hazard: none here, the equipment is untouched.
Enroll on a band the device supports, with the customer entering the credentials. Many of these thermostats are 2.4 GHz only, and one combined network name that steers clients to 5 GHz will take the password and then fail to finish. Acceptance: the device reports connected AND the customer's app lists it showing a room temperature matching the display. Wrong looks like the device saying connected while the app says offline, usually a guest network with client isolation. Stop rule: two failed enrollments and you stop rather than power-cycling their router; record the band and network name attempted. Hazard: none here, no equipment command is issued while enrolling.
Set every remote behavior to a deliberate value and write each down, including defaults left alone: schedule, setback depth, geofence radius and participants, recovery or adaptive start, filter reminder, minimum off time. Acceptance: a recorded value for every item. Wrong looks like accepting the wizard defaults and calling it configured. Stop rule: a value you cannot record because the platform hides it stays at default, and the card says so. Hazard: this step writes values that command the equipment. Setpoints closer than the manufacturer's minimum separation make the system fight itself, so hold that separation; and never set an unoccupied heating setpoint below the temperature that protects plumbing in the coldest space served, because a geofence that empties the house in January is what finds that mistake.
Prove remote control from off the house network, at the equipment. Phone on cellular, house wireless off, move the setpoint enough to force a call, then confirm at the equipment which contactor or valve energizes and that supply air moves the right direction against return. Acceptance: the commanded mode observed energizing the correct device, plus a supply and return pair in the right direction. Wrong looks like the app reporting success while the display never follows, which is a network fault and not an equipment fault. Stop rule: no equipment response and remote is not handed over as working. Hazard: this puts a call into the equipment from outside the room, so cabinet closed, panels on, everyone clear of the blower and outdoor fan, and let the minimum off time expire before reading a no-start as a failure. On a fuel-fired system the personal CO monitor is on your body before the heat call is issued and stays on until you leave the property.
Place remote sensors where they will be believed, then hand over in person and teach four things: how a hold differs from the schedule and how to clear one, that the thermostat keeps running the equipment when the internet drops and only the app stops, how to add and remove users, and how to transfer the account when they sell the house. Acceptance: each sensor reporting in the app with its participation in the average chosen deliberately; card left at the equipment and a copy handed over. Wrong looks like a sensor on a sunny sill pulling the average toward a number nobody experiences. Stop rule: no card written and the visit does not close. Offsets belong to the sensor calibration SOP. Hazard: none at the thermostat; a sensor going high means the ladder stands on the floor, not on furniture.
The record this produces
A settings card filed to the equipment record, not to the ticket:
- Whether a factory reset was performed, and which installer values were restored after it
- Account owner, and the access level your shop holds
- The signal figure read at the thermostat, in the units the device reported, dated
- Network name and band enrolled on
- Every remote behavior AS SET: schedule blocks, setback depth, geofence radius, recovery, filter interval, minimum off time
- The step 7 observation: what was commanded, what energized, the supply and return pair
- Remote sensor locations, and whether each participates in the average
The next tech reads this when the customer says the system started acting up after an app update, and it separates a control change from an equipment fault in minutes. The manager reads the signal figures across the book, because a shop handing over marginal installs is buying its own callbacks.
Worked pass: connected retrofit on a single-stage gas furnace with single-stage cooling
Step 1: sheet present from that morning's replacement visit. Conventional, one heat stage, one cool stage, minimum off time 5 minutes. Heat call recorded at supply 128 F against return 70 F, so 128 minus 70 leaves a 58 F rise, inside the 35 to 65 F range stamped on that furnace's nameplate. Cool call, supply 55 F against return 75 F, a 20 F drop. Personal CO monitor on the body from the first heat call and reading nothing throughout, this being a gas furnace.
Steps 2 and 3: new stock, no existing owner, no reset, so installer values stand. Account on the homeowner's email, password typed by her, shop added at contractor level, revoke button shown.
Step 4: signal read at the wall with the plate mounted. The device reports in bars and shows two of three, which its installation guide lists as acceptable but not strong. Recorded as read, one step above the floor.
Step 5: the house runs one combined network name across both bands, and the first attempt takes the password and times out. She publishes a separate 2.4 GHz name from her router app; the second attempt completes. App shows 71 F, display shows 71 F.
Step 6: four schedule blocks, setback depth 4 F below occupied heating, geofence at the platform's smaller radius with two phones, recovery left at default, filter reminder 90 days, minimum off time carried at 5 minutes. Setpoints held at the manufacturer's stated minimum separation. Unoccupied heating setpoint held at 60 F because the supply line to the back bedroom runs through an unconditioned crawlspace.
Step 7 FAILS. Phone on cellular, wireless off, cooling setpoint dropped 4 F. The app reports the change accepted. Nothing energizes at the equipment, and the 5 minute off time expires with no contactor pull. At the wall, the display still shows the old setpoint. Stop rule taken: remote is not handed over as working, the setpoint is restored at the wall, the system stays on local control.
The cause sits in step 5's territory. The thermostat had joined the new 2.4 GHz name, but she had created it on the guest network with client isolation on, so the device reached the platform only intermittently. Moved to the main network and re-enrolled. Step 7 re-run: setpoint dropped 4 F from cellular, the condenser contactor pulls in once the off timer clears, and supply measures 56 F against a return of 76 F, a 20 F drop in the same direction and of the same size as the morning's cool observation at the same register and grille.
