Startup Paperwork and Warranty Registration

Purpose

A manufacturer's parts warranty is not a property of the equipment, it is a property of the paperwork. An unregistered system leaves the customer holding the base term while your invoice is the document they read the longer number into, and nobody finds out until year six, when a compressor fails on a system the owner believes is covered for ten and the portal returns the base term instead. Whether your shop ends up covering that gap is a legal question for your own attorney, turning on what was represented at sale and on your state's law; what is an operational fact you can bank is that the customer will bring you the brochure and the argument will start at your counter. This procedure exists so that the day the equipment first runs, the identity block is captured off the metal, the startup values are in their slots, and the registration is filed inside the window with a confirmation number written down.

Scope

Covers the identity, startup and registration record for new residential and light commercial equipment this shop installs: split systems, packaged units, furnaces, air handlers, coils, heat pumps, mini splits, and any accessory carrying its own warranty term such as a UV device, a media cabinet or a communicating thermostat.

Does not cover the mechanical commissioning procedure itself, which the commissioning and changeout SOPs own; this SOP consumes their readings. Does not cover a claim on a part that has already failed, which the warranty part claim and core return SOP owns.

Procedure

1. Photograph the rating plate of every piece before it is set in place. One frame per piece, filling the screen, model and serial both legible without zooming. Acceptance: every character of the model and serial readable on a phone screen at normal size, for the outdoor unit, the indoor unit, the coil, and every accessory with a warranty term. What wrong looks like: a plate photographed after the unit is set against a wall, half in shadow, or a serial transcribed by hand onto the ticket instead. Hand transcription is where the character errors live: a rejected registration is almost always a zero read as the letter O. Stop rule: no piece gets set until its plate frame exists. Hazard in this step: an outdoor unit's plate often sits behind the service panel, so if a panel comes off, the disconnect is opened, locked and tagged under 29 CFR 1910.333(b)(2)(iii) and the unit proved dead on a known live source, on the target, and back on the known live source, per NFPA 70E-2021, 120.5, with work practices at 29 CFR 1910.333(b)(2).

2. Record the AHRI matched combination for the system as installed. Write the AHRI reference number for the outdoor unit, indoor unit and coil as a set, taken from the directory or the quote it was sold against. Acceptance: a reference number that names the three model numbers actually on site. What wrong looks like: a coil substituted at the supply house on install morning because the specified one was short, with the reference number carried over from the quote. That is now an unmatched system, its rated performance is not what was sold, and any efficiency-based rebate built on it is wrong. Stop rule: a substitution stops the paperwork, not the install; the office pulls a new reference number before the ticket closes, and if no matched combination exists the service manager decides before the customer signs. Hazard: none at this step, it is a lookup made off the equipment and the quote.

3. Set the warranty start date to the date the system first ran for the customer, and write it once. Acceptance: one date, the same date, on the ticket, the startup sheet and the registration. What wrong looks like: three different dates, the delivery date on the invoice, the install date on the permit and the startup date on the sheet, because a two-day install crossed a calendar boundary. Manufacturers key coverage to installation date and some ask for proof. Stop rule: where equipment ran for construction heat before closing, that is not the warranty start, and the office asks the manufacturer in writing which date they will honour rather than guessing. Hazard: none at this step, it is a desk decision.

4. Fill every commissioning slot on the startup sheet at the point of reading. Line voltage under load, compressor and blower amp draw against nameplate rated load amps, superheat or subcool against the manufacturer's charging chart for that model, temperature rise inside the range stamped on the furnace rating plate, total external static below the maximum that same plate publishes, and refrigerant type and charge weight added. Acceptance: a number in every slot, none blank, none copied from the last job. What wrong looks like: a sheet filled in the truck at day's end from memory, which reads as complete and is worthless, because the one value the manufacturer later asks for is the one nobody took. Stop rule: a value outside its published range is not written down and left; the system is corrected or the ticket carries a named open item before the customer signs. Hazard in this step: panels are off and the equipment is running for most of these readings, so hands stay out of the blower housing; taking line voltage under load and amp draw at an open energized cabinet is qualified-person work under 29 CFR 1910.332 and 1910.399 with practices at 29 CFR 1910.333(b)(2), leads landed one-handed and rated for the circuit, and if nobody on site is qualified those slots stay open until someone is. On a firing appliance a personal carbon monoxide monitor is on the tech before any burner lights.

5. Photograph the completed startup sheet and hand the customer their copy on site. Acceptance: the customer holds a legible copy showing model, serial, install date and the commissioning values, and the ticket records the handover. What wrong looks like: a promise to mail it, which becomes a customer who calls in year four with no idea what they own. Stop rule: no copy on site means the office mails it within one business day and the ticket says so. Hazard: none at this step.

6. Submit the registration inside the manufacturer's stated window and capture the confirmation. Acceptance: a confirmation number or a dated screenshot of the submitted record, filed against the serial. The window is commonly 60 to 90 days from installation on residential equipment, and both the exact length and who may submit it, installing contractor or homeowner or either, are set by that manufacturer's warranty statement for that model year, so the office reads the statement rather than assuming the last brand's rule. What wrong looks like: a rejection on "serial not found", usually a transcription error or a serial that has not yet propagated from the distributor. Stop rule: a rejection is escalated to the distributor representative the same day and re-attempted, never left in a folder, because the window keeps running while it sits. Hazard: none at this step.

7. Write down what registration actually bought, in years, per component. Acceptance: the base term and the registered term stated separately for the sealed system and for the balance of parts, plus any heat exchanger term, read off the warranty statement for that model. What wrong looks like: telling a customer "ten years parts" as a blanket, when the registered extension commonly applies to owner-occupied single family use and the term on a rental, a commercial application or a second owner is frequently shorter or non-transferable. Stop rule: if the property is a rental, the office confirms the applicable term in writing before that number is repeated to anyone, and where the manufacturer's answer conflicts with what was represented at sale, that is a question for your own attorney before anyone quotes a term to the customer. Hazard: none at this step.

8. Record the labor position separately from the parts position. Acceptance: one line stating the shop's own labor term, and one stating whether an extended labor policy was sold, with its administrator and policy number. Manufacturer parts warranties almost never include labor, and a customer who heard "ten year warranty" and gets a labor invoice in year seven files a complaint that is expensive whichever way it resolves. Stop rule: a blank labor line stops the file from being closed. Hazard: none at this step.

The record this produces

One warranty record per system, keyed to the outdoor unit serial: rating plate photos for every piece; the AHRI reference number for the combination as installed; a single warranty start date; the filled startup sheet with a value in every commissioning slot; the registration confirmation number and its submission date; the registered parts term in years by component; the labor term and any policy number; permit and inspection status.

Three people read it later and none are on the job today: the tech in year six deciding whether the compressor is covered before quoting, the office filing a claim that will be judged on whether the startup values were recorded, and the customer, who reads one line of it - how many years, on what.

Worked pass: gas furnace, coil and condenser changeout in a single family home

Two-day changeout finished on a Tuesday. Steps 1 through 5 ran clean. Four rating plate frames captured before anything was set: condenser, furnace, evaporator coil, and the media cabinet, which carried its own accessory term. AHRI reference confirmed against the three model numbers physically on site. Warranty start date set to Tuesday, the day the system first ran in cooling for the customer, written once and used everywhere. Startup sheet filled at the equipment: line voltage 241 under load, compressor draw inside nameplate rated load amps, subcool 9 F against a chart calling for 8 to 12 F, temperature rise 46 F against a rating plate range of 35 to 65 F, total external static 0.62 in w.c. against a plate maximum of 0.80 in w.c.

Step 6 FAILED. The office submitted on Friday, three days after the Tuesday start date, and the portal rejected the outdoor serial as not found. Capturing the rejection text rather than simply retrying is what turned a nuisance into a five minute fix: the serial had a character typed from the ticket rather than read off the photo, and the photo settled it. Under this step's stop rule it went to the distributor representative that same day. Resubmitted and confirmed the following Tuesday, day 7 from the Tuesday install date, against a window this manufacturer states as 90 days, so 90 minus 7 leaves 83 days of margin unused. The confirmation number was written against the serial.

Steps 7 and 8 then caught what the crew would have got wrong. The registered term was read off the warranty statement rather than repeated from the brochure: 10 years on the sealed system and 10 on the balance of parts for owner-occupied single family use, shorter where the equipment serves a rental. This property is owner-occupied, so the full term applies, and that condition was written down so nobody re-derives it if the house sells. Labor recorded as the shop's own one year term with no extended policy sold, and read aloud at handover rather than left on paper.
