Moving Equipment Daily Inspection Standard

Purpose

A dolly, a strap, or a ramp does not fail on the day it is used hard. It fails on an ordinary job weeks after the wear that caused it started, because nobody looked at it since the last time it worked fine. This standard exists so the equipment that carries the day's heaviest items, the appliance dollies, ratchet straps, furniture dollies, and ramps, gets checked before it leaves the yard rather than trusted because it worked yesterday. This is also the shop's operating answer to the general duty under 29 CFR 1910.176 to keep mechanical handling equipment in safe condition: a standing daily check, not a reaction to something already breaking. Without it, the first sign of a worn strap or a cracked wheel is the moment it lets go under a loaded item.

Scope

Covers the daily pre-shift inspection of moving equipment carried on a truck: two-wheel appliance dollies (including stair-climbing tread models), ratchet straps and hooks, four-wheel furniture dollies, furniture slides, moving blankets, and loading ramps. It does not cover the technique for using this equipment on a job, which the moving-technique HowTos in this shelf own, and it does not cover cargo tie-down capacity math once a load is on the truck, which the truck loading and weight distribution standard owns. This inspection happens before departure; equipment that fails or is damaged mid-job is pulled from service on the spot under the same stop rule, logged the same way, and re-inspected under this standard before it goes back out.

The procedure

  1. Inspect each two-wheel appliance dolly's frame and wheels. Check the frame for any visible bend, crack, or weld separation, and spin each wheel to confirm it turns freely with no wobble at the axle. Acceptance: frame straight with no crack or separated weld, both wheels spin true with no side-to-side play. Wrong looks like a wheel that wobbles more than roughly a quarter inch at the rim, or a hairline crack at a weld joint that was not there last week. Stop rule: any crack, weld separation, or wobbling wheel pulls that dolly from the truck immediately, tagged, not carried "for backup." Hazard: pinch between the wheel and the frame while spin-testing; keep fingers clear of the axle housing, not just the tire surface.

  2. Inspect the ratchet strap and hook on each appliance dolly. Pull the full strap length out and run it through your hands, checking for cuts, fraying, or UV-brittle webbing, and check the hook for any visible bend or an open throat that no longer sits flush. Acceptance: webbing shows no cut deeper than a fiber or two and no section frayed across more than roughly 10 percent of its width, hook sits flush with no visible bend. Wrong looks like a webbing section that has gone stiff and pale from sun exposure, or a hook whose throat has opened enough to slip off a loop under load. Stop rule: any cut, significant fray, or hook deformation, the strap comes off that dolly and gets replaced before the dolly loads anything; do not downgrade a failed strap to "light duty" use. Hazard: ratchet snap-back while running the strap through the mechanism to check it; keep your free hand and face clear of the handle's swing arc during the check, the same as during a live tensioning.

  3. Inspect the stair-climbing tread belt on any dolly equipped with one. Check the belt for tension (it should not sag visibly off the wheel track) and inspect the tread surface for cracking, flat spots, or separation from the belt's backing. Acceptance: belt seated tight on all three wheels per side with no visible sag, tread surface intact with no cracking or delamination. Wrong looks like a belt that has gone slack enough to slip a wheel, or a tread surface showing dry cracking across its width. Stop rule: any slack belt or cracked tread pulls that dolly from stair-climbing use for the day; it can still go out as a standard wheeled dolly only if the standard wheels themselves passed step 1 independently. Hazard: fingers caught between the belt and the wheel while manually rotating it to inspect the full loop; rotate it by the frame, never by reaching into the belt path.

  4. Inspect the four-wheel furniture dolly deck and casters. Check the plywood or composite deck for any crack or soft spot, and spin each caster to confirm free rotation with no seized swivel. Acceptance: deck solid with no crack or flex under hand pressure, all four casters swivel and roll freely. Wrong looks like a caster that has gone stiff on its swivel pin from rust or debris buildup, which will not turn under load and instead drags the whole platform sideways. Stop rule: a cracked deck or a seized caster pulls that dolly from service; a seized caster gets cleaned and re-lubricated on the spot if that resolves it, re-tested before it counts as passed, otherwise it is tagged out. Hazard: none beyond standard hand-tool care during caster cleaning; this step carries the lowest injury exposure of the inspection.

  5. Inspect moving blankets and furniture slides for wear. Check blankets for torn seams or thin spots that no longer pad an edge, and check slides for cracked plastic or worn-through felt. Acceptance: blankets intact with no open seam longer than a few inches, slides show no crack through the load-bearing disc. Wrong looks like a blanket with a seam split wide enough that padding has migrated out of it, leaving a bare patch over the item's edge it is meant to protect. Stop rule: a failed blanket or slide is pulled and replaced from stock before the truck leaves; a truck short on blankets does not depart short, it waits for stock. Hazard: none directly; this step is a condition check, not a load-bearing test.

  6. Inspect each ramp's hinge pins, surface, and capacity decal. Confirm hinge pins are seated and not visibly worn or bent, check the ramp surface for cracking (aluminum) or splitting (wood-composite), and confirm the capacity decal is present and legible. Acceptance: pins fully seated with no visible play at the hinge, surface free of cracks or splits, decal legible. Wrong looks like a hinge pin that has worked partway out and shows daylight at the joint, which lets the ramp fold under load instead of staying rigid. Stop rule: any hinge play, surface crack, or illegible decal pulls that ramp from service; an illegible decal is a fail even if the ramp looks physically sound, because the crew then has no way to confirm its rated capacity or incline limit on the job. Hazard: pinch at the hinge while manually flexing it to check for play; keep fingers away from the fold line itself, check play by feel at the pin housing instead.

  7. Tag, remove, and log any failed item, and confirm its replacement before the truck leaves. Any item that did not pass steps 1 through 6 gets a physical tag stating what failed and the date, is removed from the truck (not left aboard "just in case"), and is logged with office or ops. Acceptance: every failed item physically off the truck, tagged, and entered in the log with a replacement confirmed on board. Wrong looks like a failed dolly left in the truck because no spare was on hand yet, on the assumption the crew "just won't use it." Stop rule: the truck does not leave the yard until every failed item's replacement is confirmed loaded, even if that means a short delay; a truck with a known-failed item aboard is a truck carrying a hazard the crew has already identified and decided to ignore. Hazard: none at this step; it is documentation and stock confirmation.

The record this produces

  • Pass/fail log for every dolly, strap, ramp, blanket set, and slide loaded that day, dated and initialed by the crew lead.
  • Failed-item tags, physically attached to the equipment, stating what failed and when.
  • Replacement confirmation, logged by office or ops before departure sign-off.
  • Driver sign-off confirming the load-out matches the pass log with nothing untagged aboard.

One run of this standard, filled in

A two-truck yard, five appliance dollies, three furniture dollies, six ramps, and a full set of blankets and slides due out at 7 AM.

  • Step 1: all five appliance dolly frames check straight, all ten wheels spin true. Pass.
  • Step 2: four straps check clean. The fifth, on Dolly 3, shows a section frayed across roughly a third of its width near the hook, well past the 10 percent threshold. Fail. Stop rule taken: the strap comes off Dolly 3 immediately and is tagged. No spare strap is on the shelf, so Dolly 3 itself is pulled from today's load-out rather than sent out unstrapped.
  • Step 3: two of the five dollies are stair-climbing models (Dolly 3 is not one of them). Both belts check tight with no cracking. Pass.
  • Step 4: all three furniture dolly decks check solid; eleven of twelve casters spin free, one on Dolly B's rear-left has gone stiff from yard grit. Cleaned and re-lubricated on the spot, re-tested, spins free. Pass on retest.
  • Step 5: blankets and slides check intact, no failures.
  • Step 6: five of six ramps pass clean. The sixth shows a hinge pin with visible play, roughly an eighth inch of daylight at the joint under hand pressure. Fail. Tagged and pulled; the yard's spare ramp goes on that truck instead.
  • Step 7: two failed items today, Dolly 3's strap (which took the whole dolly out of service for lack of a spare) and the sixth ramp's hinge pin. Both tagged, logged with office, replacements confirmed: the spare ramp is loaded, and office orders a replacement strap for Dolly 3 for next-day use. Driver confirms the load-out against the log; four appliance dollies, three furniture dollies, six ramps (five original plus the spare) leave the yard, all passed.
