Daily Equipment, Blade and Fuel Check

Purpose

Put every machine on the trailer in a known condition, every day, with the blade condition and the fuel batch written down.

This check exists to prevent two specific events. The first is steel leaving a spinning deck: a cracked or thinned blade throws a fragment at tip speed, and a mower deck aims it sideways at whatever is standing there. The second is a fire, either in a deck packed with dry clippings against a hot muffler or in a trailer carrying fuel that was transferred carelessly. Both are rare enough that a crew can skip the check for a year and be right every morning, which is exactly why it has to be a logged procedure rather than a habit.

The daily check is also where cut quality comes from. A dull blade tears leaf tips instead of cutting them, the torn ends brown within two days, and the customer sees a lawn that looks bad three days after you mowed it and concludes the crew rushed.

Scope

Covers the pre-route inspection of mowers (walk-behind, stand-on, zero-turn), handheld two-stroke equipment, and the fuel carried to run them, performed at the yard before loading.

Does not cover: scheduled service intervals such as oil, hydraulic fluid, belts and spindle bearings, which follow the manufacturer's service schedule on the hour meter; deck leveling, which the mower deck leveling article owns; repairs of any kind. This procedure inspects, sharpens, fuels and red-tags. Anything beyond that becomes a work order.

Procedure

  1. Park, secure and let it cool before touching anything. Machine on level ground, parking brake set, engine off, key out. Acceptance: key in your pocket, brake set, and the muffler and deck cool enough to lay a bare hand near before any fuel cap comes off or any cleaning starts. Hazard: fuel vapor finds a hot muffler faster than a person can react, so no machine is refueled while running or hot, and dry clippings packed against an exhaust are treated as tinder rather than as mess.

  2. Immobilize the engine before a hand goes near a blade. Pull the spark plug boot, both of them on a twin, and tape it back where it cannot flop onto the plug; on a battery machine, remove the safety key and disconnect the battery. Acceptance: boot off and secured, blade motionless. Hazard: turning a blade by hand turns the engine over and can fire a cylinder, which drives the blade through the hand that moved it. Second hazard: a deck raised for access is supported on stands, never on a jack alone, and a walk-behind tipped for access goes with the carburetor and air filter side up and the fuel cap tight, or the tank is drained first, so fuel does not flood the carburetor and oil does not migrate into the cylinder.

  3. Scrape the deck to bare metal at the discharge and around the spindles. Acceptance: no packed windrow of clippings anywhere under the deck, and the discharge opening at full width. Wrong looks like a hard mat of dried clippings, which hides the cracks you are about to look for, holds moisture against the deck shell, and burns. Stop rule: a deck that cannot be cleaned to metal because material has hardened into the corners goes to the shop rather than back on the trailer. Hazard: scrape with a tool and gloved hands, never a bare hand run along an edge you have not inspected yet.

  4. Inspect the blade for cracks, bends and lost metal. Look first at the center hole and the bend where the sail rises, because that is where fatigue cracks start, then along the trailing edge for erosion, then sight down the blade for a bend. Acceptance: no crack anywhere, no bend, and sail height and thickness compared against a new blade of the same part number, which is the only honest reference you have; the manufacturer's published service limit governs where there is one. Stop rule: any crack, bend, deep gouge or thinned sail means the blade is discarded and red-tagged, and it is never welded, straightened or re-formed - both heat and cold working change the steel, and the fragment that leaves a re-formed blade exits fast enough to go through a window or a person. Replace in matched sets so the deck stays in balance.

  5. Sharpen on the whichever-comes-first rule, then balance. The rule is 8 operating hours since the last sharpen OR a failed edge check, whichever comes first, and the edge check is a visible nick, a rolled edge, or torn white leaf tips reported off yesterday's route. Acceptance: the original factory bevel restored to a dull butter-knife edge, not a razor, with no blue discoloration anywhere on the steel, and the blade sitting level on a cone balancer. Wrong looks like a blue edge, which means the steel was overheated and softened and will fold in an hour of cutting. Stop rule: a blade that will not sit level after two correction passes is discarded rather than run, because an out-of-balance blade destroys spindle bearings quietly over weeks. Hazard: grinding throws sparks and hot metal, so face and eye protection go on, and no grinding happens near the fuel area or over a bench with fuel-soaked rags on it.

  6. Re-install and torque with a wrench, not an impact gun. Sail points up toward the deck, the washer and retainer stack goes back in the original order, threads are clean. Acceptance: bolt torqued to the manufacturer's published figure with a torque wrench, and the figure written on the log. Wrong looks like an impact-gunned bolt of unknown torque, which is either under-tight and lets the blade walk off the spindle or over-tight and stretches the bolt so it lets go later. Stop rule: no published torque figure in reach means the blade does not go back on until someone pulls it from the service manual; guessing is not a torque spec.

  7. Walk the running gear and the air path. Acceptance: air filter clean and seated, oil between the marks with the machine level, no fluid on the ground under the machine, belts without glazing or cord showing, and tire pressures matched side to side against the figure in the manual. Wrong looks like a deck that scalps a stripe on one side, which is very often two tires at different pressures rather than a deck out of level. Stop rule: fluid on the ground is a work order, not a top-up. Hazard: do not blow a paper air filter out with shop air from the dirty side, which drives grit through the media and into the engine; tap it out or replace it.

  8. Check fuel age, water and mix ratio before anything is poured. Acceptance: every container dated at fill, ethanol-blended gasoline no older than 30 days unless stabilized at fill, no separation layer visible at the bottom of a clear container, and two-stroke mix matched to each machine's published ratio rather than to what is in the can. Wrong looks like a phase-separated can, where ethanol and water have dropped out as a distinct layer that will not re-mix by shaking and will corrode a carburetor. Stop rule: undated or suspect fuel goes to the recovery container, not into a machine. Never put E15 or higher blends in this equipment: the EPA waiver that allows E15 covers model year 2001 and newer light-duty motor vehicles only, so E15 in handheld or lawn equipment is misfueling, and it is the pump label that tells you which you are holding.

  9. Transfer fuel on the ground, and store it as the flammable liquid it is. Hazard first, because this is where the fire starts: containers are always filled sitting on the ground, never in a truck bed, on a trailer deck or on a plastic bedliner, because a container insulated from ground can build a static charge that arcs to the nozzle at the fill opening. Keep the nozzle in contact with the container throughout, engines off, no phone, no smoking. Acceptance: listed safety cans only, upright, capped, vents closed, secured so they cannot tip in transit, and stored per your written flammable-liquid program. Stop rule: no loose or leaking container rides in an enclosed trailer, where vapor collects at floor level with no way out.

  10. Log it, and red-tag anything that failed. Acceptance: one row per machine carrying the hour reading, the blade action taken with part number and torque, the fuel batch date, and a pass or fail. Stop rule: a failed machine gets a physical red tag with the failure written on it and its key pulled, and it does not roll - handing it to a different crew is not a repair, it is a transfer of the same hazard to someone who was not there when it failed.

The record this produces

  • Daily machine log (hours, blade action, part number, torque, fuel batch, pass or fail, signature). Read the next morning by whoever runs the check, and read by the shop when a spindle fails early, because a run of unbalanced-blade entries explains it.
  • Blade history per machine. Read when sharpen intervals stop holding: blades dulling in half the expected hours usually means sand or a scalping height, not bad steel.
  • Fuel batch dates. Read when several machines run rough in the same week, which points at one container rather than at five carburetors.
  • Red tags. Read by everyone, which is the point of a physical tag; the log entry alone has never stopped a crew from taking a machine.

Worked pass: 60 in zero-turn, Monday morning

Steps 1 and 2 pass: brake set, both plug boots off and taped, deck cool. Step 3: deck scraped, a hard mat at the left corner takes an extra few minutes but comes to metal.

Step 4 fails. With the deck clean, the center blade shows a hairline crack running about a finger width out from the center hole. Stop rule taken: the blade is discarded and red-tagged, and it is not straightened, welded, or "kept for the rough lot." Because balance across the deck matters, the shop pulls a matched set of three rather than replacing one, and the log records the part number.

Step 5 on the other two blades, before the set decision: the hour meter reads 412.6 and the last sharpen was logged at 405.2, so 7.4 hours, which is inside the 8-hour half of the rule. The edge check is the half that fails - two visible nicks on the right blade and torn white tips reported off Friday's route. The rule is whichever comes first, so it sharpens. Both come off the grinder with no bluing and sit level on the balancer.

Step 6: new set installed, sails up, torqued with a wrench to the figure from the service manual, and the figure written on the log.

Step 8 fails. The mix can for the handhelds is dated 41 days back and is not marked as stabilized, which is past the 30-day acceptance. Stop rule taken: it goes to the recovery container and a fresh batch is mixed to the ratio printed on each machine rather than to the can's habit. The two trimmers that ran on it Friday get a note on the log, so a hard-starting complaint this week has a place to start.

The machine rolls at 7:20 with one row on the log, one red tag on the wall, and a blade set the shop knows the age of. Nothing in this pass was a repair.
