Mulch Installation Standard

Purpose

Install mulch to a measured depth over prepared beds without burying anything that needs air. Mulch is sold by the yard, which is exactly why it gets installed wrong: the profitable move and the horticulturally correct move point in opposite directions, and the shop that adds a full layer every spring is stacking depth on depth until roots grow up into the mulch, water never reaches the soil, and a tree the customer paid to plant dies slowly with a cone of bark mulch against its trunk.

The second failure is material. A load that came out of an anaerobic pile can scorch every plant in the bed within a day of installation, and by then it is spread across six beds.

Scope

Covers organic mulch installation and refresh in planting beds and around trees on residential and light commercial properties: measuring, depth probing, volume arithmetic, load inspection, bed preparation, spreading, depth verification and cleanup.

Does not cover the bed edge itself or weed control before or after mulching, which are the LawnCare bed edging and weed control visit SOP. Does not cover product selection between mulch types, which is the mulch types reference. Does not cover inorganic mulch over landscape fabric on a drainage detail, playground surfacing, which carries its own impact-attenuation specification, or the erosion control blanket work on a graded slope.

The handoff that fails is the existing depth. An office that orders from last year's yardage without this year's probe readings has already decided the beds will end up too deep.

Procedure

Step 1 - Measure the beds and probe what is already there

Measure each bed and push a probe or ruler to the soil surface at five spread-out points per bed. Acceptance: bed area to the nearest 10 sq ft and five existing-depth readings per bed, averaged and written down. Wrong looks like a crew eyeballing "looks about two inches" across a bed whose back edge has four years of build-up, which is where over-depth begins. If the probe cannot find soil at 4 in in most of a bed, do not add mulch: that bed needs excess pulled and removed first, which is separate billable work and a call to the office.

Step 2 - Compute the delta, not the target

Convert the depth you need to ADD, not the finished depth, into cubic yards. Cubic yards equals bed area in square feet multiplied by added depth in inches, divided by 324, since one cubic yard covers 324 sq ft one inch deep. Acceptance: order quantity computed from target depth minus measured existing depth, with 2 to 3 in the standard finished depth for organic mulch in a bed. Wrong looks like ordering against the finished depth on a bed that already carries mulch, which delivers several times the material needed and buries the bed. Above about 4 in of organic mulch, water and air stop reaching the soil reliably and roots begin colonising the mulch layer itself, so the ceiling is a horticultural limit and not a preference.

Step 3 - Inspect the load before a barrow leaves the pile

Smell and probe the load at the pile or on the truck before spreading. Acceptance: earthy or woody smell, no visible steam from the core on a cool morning, and no sharp vinegar, ammonia or rotten-egg odour. Wrong looks like sour mulch, which comes out of an anaerobic pile and can scorch foliage and kill bedding plants within a day of contact. If the load smells sour, stop: do not spread it against plants. Reject it, or spread it in an open area and turn it until the odour is gone and re-check before use. Dry aged mulch releases fungal spores when it is moved, so wet the pile before loading, work upwind, and where dust is visible use respiratory protection issued under a program meeting 29 CFR 1910.134 rather than a nuisance dust mask.

Step 4 - Prepare the bed and mark everything that must not be buried

Weed the bed, then flag every irrigation head, valve box, drain outlet, low-voltage fixture and perennial crown. Acceptance: every head and box flagged and countable against the zone map, no weeds left with a root, and each crown visible. Wrong looks like a spray head buried under 3 in of mulch, which is found next season as a dead patch and costs an irrigation call to fix. If a head or box cannot be located, run the zone briefly to find it before mulching rather than after. Keep hands out of the mulch pile when a skid steer or tractor is working it, and never load a barrow from beneath an undercut face.

Step 5 - Spread to depth, working out from the plants

Spread from the plant bases outward, keeping mulch off stems and out of the root flare of every tree. Acceptance: no mulch touching any stem, the root flare of each tree fully visible with mulch tapering to nothing 3 to 6 in from the trunk, and no bed depth over the ceiling from step 2. Wrong is the mulch volcano: a cone of mulch piled against the trunk, which keeps the bark wet, invites bark decay and rodent chewing, and encourages girdling roots that strangle the tree years later. If a tree already sits in a volcano from previous visits, pull the mulch back to expose the flare and tell the customer what you found rather than adding to it.

Step 6 - Verify depth at points, not on average

Re-probe five points per bed after spreading, including the corner where the last barrow landed. Acceptance: every single reading inside the band, commonly 2.5 to 3.5 in for a 3 in target, with no point above the ceiling. Wrong looks like accepting an average: readings of 2.9, 3.1, 3.0, 4.2 and 3.0 average to 3.24 and pass on the mean while a perennial group under the 4.2 corner is buried. Rake the deep point back and re-probe before the blower runs, since finding it after cleanup means walking the bed again.

Step 7 - Clean the hardscape and clear the drainage

Blow or sweep every hard surface and confirm nothing is blocked. Acceptance: no mulch on drives, walks or the street, downspout outlets and drain grates clear, and mulch kept back from siding and foundation weep holes. Wrong looks like mulch swept into a storm inlet, which is both a municipal issue and the fastest way to plug a customer's yard drain. Mulch banked against siding also carries a termite and moisture path into the structure, so keep the material back from the wall and never bury the sill. Wet mulch on smooth concrete is slippery underfoot for the crew and the customer.

Step 8 - Record the numbers and walk the customer through what you found

Record the measured figures and hand over any finding that changes what the customer should expect. Acceptance: per-bed area, existing depth, added depth, finished depth and yards installed recorded, and every finding named, buried heads, a pre-existing volcano, a rejected load, or a bed that needed excess removed. Wrong looks like an invoice that reads "mulch installed" with a yardage, which gives next spring's crew nothing to compute against. If a bed was skipped, write skipped and why, since a blank field reads as done.

The record this produces

One mulch record per property per installation: date, crew, supplier and material type, per bed the measured area, five existing-depth readings and their average, computed delta depth, cubic yards ordered and installed, five post-install readings, and any correction made. Findings ride alongside: rejected loads with the reason, buried irrigation heads with their zone, trees found in a volcano, and beds that needed excess pulled.

The per-bed finished depth is the number next year's job depends on, because it is what makes the delta arithmetic in step 2 possible instead of guesswork. Yards installed against yards ordered is the office's reconciliation: a load consistently over-ordering across a route means the property-card areas are stale, and a load consistently short means a crew is spreading thin to make a bed reach. The tree findings go to the customer in writing, because a girdled tree is a slow failure that surfaces years later and the record is what shows the shop identified it and did not cause it.

One pass through this procedure

Property: six beds, 1,450 sq ft in the front foundation bed, hardwood mulch, 3 in finished target.

Step 1 probes the front bed at five points and averages 1.75 in of existing mulch. Step 2 computes the delta at 1.25 in, so 1,450 multiplied by 1.25 divided by 324 is 5.59 cubic yards, ordered as 6. That 6 yards spread over 1,450 sq ft adds 6 times 324 divided by 1,450, or 1.34 in, landing the bed at 3.09 in finished. Ordering against the 3 in target instead would have been 1,450 times 3 divided by 324, or 13.4 cubic yards, 2.4 times the material and a finished depth of 4.75 in, which is over the ceiling and into the range where the bed stops breathing.

Step 3 fails. The first load arrives smelling sharply of vinegar with steam rising from the middle of the pile on a cool morning. The stop rule runs: nothing is spread. The load is refused at the truck, the office is called from the driveway, and the supplier delivers from a different bunker that afternoon. The second load smells woody and is accepted. Losing half a day here is cheaper than replacing a bed of annuals plus the labour to pull scorched mulch back off.

Steps 4 and 5 pass. Eleven spray heads and two valve boxes are flagged against the zone map and all thirteen are countable after spreading. A maple at the corner of the bed is found in an existing volcano from a prior season, and the mulch is pulled back until the flare shows rather than topped up.

Step 6 catches a local over-depth. The five post-install readings are 2.9, 3.1, 3.0, 4.2 and 3.0 in. Four are in the band and the 4.2 is not, in the corner where the last barrow was dumped over a group of hostas. On the average, 3.24 in, the bed passes; on the rule as written, every point must be in band, so it fails and gets raked back. Re-probe reads 3.1 in and the bed is accepted.

Step 8 records the 1.75 in existing, the 1.34 in added, the 3.09 in finished and the 6 yards, plus three findings: the rejected load, the maple volcano and the corrected corner. Next spring the crew probes, subtracts, and orders against a real number rather than repeating six yards out of habit.
