Tree Ring and Trimmer Damage Prevention

Purpose

Stop the shop killing customer trees one visit at a time, and hold a dated record of which wounds were there before the shop started mowing.

Trimmer damage does not show on the day. The line takes a strip of bark off and the operator moves on. What came off is the phloem, the living layer under the bark that carries food made in the leaves down to the roots. Repeat it weekly and the strips join; a trunk stripped all the way around is girdled and usually dies the following season on stored reserves, long after anyone connects it to mowing. The control that works is a standoff distance, not an instruction to be careful.

Scope

Covers sizing, cutting and holding a trimmer standoff around trunks, posts, hydrants and meter risers on residential and light commercial turf, recording existing trunk damage, and the operating rule at the trunk.

Does not cover mulch depth, product or volume, which the mulch installation standard owns and step 5 defers to. Also excluded, each with its own SOP in the references: bed edging, pruning, guards and machine condition, and claim handling after damage is done.

Procedure

Step 1 - Walk every trunk and class it before a machine starts

Engines off, class each tree, post and riser as trim, hand only, or do not approach, noting vines on bark, ground-nest traffic, stakes, guys and wraps. Acceptance: every trunk classed in writing before a machine starts. Wrong is identifying the vine after running a trimmer through it; stop rule, a woody vine with three leaflets and hairy aerial roots is treated as poison ivy, classed do not approach, and routed to the herbicide SOP. Hazard: urushiol injures by several routes. Contact needs sleeves and nitrile gloves, and the oil stays active on gloves and tools, bagged and laundered separately. Cutting or mowing the vine aerosolizes it, a respiratory exposure, and burning it is never done. Hand to mouth is an ingestion route, so nobody eats before washing. On exposure, wash with soap and cold running water at once and get medical attention for any face, eye or airway involvement.

Step 2 - Measure and photograph existing damage before you touch anything

Tape the trunk circumference at the damage height, tape the arc of bark missing or dead, and photograph both with the tape in frame. Acceptance: circumference, damaged arc, and the arc as a percentage of circumference recorded per tree with a dated photo, before any machine runs. Wrong is a note reading "some trimmer damage on the maple", which proves nothing about how much or when; stop rule, a continuous ring or damage over half the circumference stops work at that tree, nobody trims inside its ring, the office hears that day, and it routes to a certified arborist. Hazard: no machine runs, but measuring puts a body at the trunk base where a ground nest would be, so it follows the step 1 scan, and anyone with sting anaphylaxis carries their autoinjector.

Step 3 - Measure the cutting radius and the crew's aim tolerance

Engine off, boot pulled and taped clear, measure spindle center to line tip with the line trimmed at the guard's limiting knife: that is the cutting radius. Then lay a string line on turf, have each operator make four passes trimming to it at route pace, and measure the worst excursion past the line: that is the aim tolerance. Acceptance: a cutting radius per machine model and a worst-case excursion across every operator, not an average, because the ring must survive the worst pass. Wrong is an operator running long line, which makes the cutting radius unknown; stop rule, a guard with a broken line knife is red-tagged to the service SOP and not used. Hazard: the test throws debris, so run it over turf, never pavement, with eye and face protection per 29 CFR 1910.133 to ANSI Z87.1 in the edition your program names, the manual's bystander clearance (commonly 50 ft) held all round, and hearing protection against the 85 dBA action level at 29 CFR 1910.95(c).

Step 4 - Size the ring from those numbers, then cut it

Ring radius from the trunk face equals cutting radius plus aim tolerance plus a 3 in margin, rounded up to the next whole inch. Acceptance: that radius measured from the trunk face at four points, north, south, east and west, each at or above the computed figure. Wrong is an oval clearing only on the side the operator walks in from; stop rule, where a walk or narrow strip makes the radius impossible, that side becomes hand only on the property card and takes a trunk guard fitted here, logged with its re-check date at step 6. Hazard: a spade at a ring edge goes into ground holding irrigation laterals and low-voltage lighting cable at shallow depth, so hand tools inside the tolerance zone and a one-call ticket before mechanized digging, with notice period and hand-dig exemptions set by your state's law, not a national rule. If a line is struck: water, shut the zone and isolation valve; lighting, kill it at the transformer; a gas service, which reaches grills and pool heaters through shallow yard runs, means everybody walks upwind off the property, no engine started, no phone used at the trench, utility and 911 called from a distance.

Step 5 - Mulch the ring, bare the flare, strip off what is already girdling

Mulch to the depth the mulch installation standard sets, working outward, then strip off anything encircling the trunk that will not expand with it: guy wires in hose, nursery twine, planting wraps, drip tubing. Acceptance: the root flare, the swelling where trunk widens into roots, fully visible with mulch tapering to nothing before it reaches bark, the mulching practice ANSI A300 Part 2 sets out, binding where a landscape specification or ordinance adopts that edition; nothing encircling any trunk; staking pulled once the tree is past the establishment period the planting spec names. Wrong is the volcano, a cone of mulch against bark that holds it wet and grows girdling roots. Stop rule: a wire embedded past the bark surface is not pulled out, because pulling tears a wider wound than it made; cut it clear either side of the embedded portion, leave it, route to the arborist. Hazard: aged mulch releases dust and fungal spores when moved dry, an inhalation route a glove does not address, so dampen a dry pile first and wear any respirator under a written program per 29 CFR 1910.134, since no program means no respirator and no respirator means the crew does not do that work. A guy under tension whips toward the cut, so cut the slack side first and keep your face out of its plane.

Step 6 - Prove the standoff, restore what you opened, and record it

The operator makes one full circuit of the finished ring at route pace while the crew lead watches the trunk, not the operator; then everything the visit shut off, moved or removed goes back. Acceptance: one complete circuit with no line contact on bark and no line crossing the mulch line, the mower deck kept off the ring edge on the following pass, any irrigation valve closed at step 4 reopened and that zone run once to confirm no head is buried or blocked by mulch, damage percentages and ring radii on the property card, and a dated re-check for every trunk guard installed at step 4 and every stake left standing. Wrong is an operator walking the line into the ring for the last blades at the mulch edge, which is how a correct ring stops working by week three, or a guard installed and never revisited. Stop rule: any bark contact enlarges the ring to the excursion that produced it or makes that position hand only, and never means the operator is told to try harder; a head buried or shifted by the new ring goes to the irrigation head and nozzle replacement visit rather than waiting a week. Hazard: this step puts a running machine back at the tree and then puts water back, so guard and line knife are confirmed present before the pull, step 3 having had the machine apart; the manual's bystander clearance is held with customer, children and pets indoors or off the property rather than told to stand back; eye and face protection per 29 CFR 1910.133 stays on; and the zone run is watched from outside the spray pattern, nobody's face over a head. If a window, vehicle or person is struck, the machine is shut down, not restarted.

The record this produces

One line per trunk on the property card: species where known, circumference, damaged arc, damage as a percentage of circumference, date and photo, ring radius, the step 1 class, and any guard or stake with its re-check date. Plus one shop line per machine model: cutting radius and worst aim excursion, with the date taken.

Read forward, a trunk going from 27 to 41 percent over two seasons says the ring is not working there.

One pass through this procedure

Front yard, three trees in turf, first ring visit after onboarding: a maple at the walk, a honeylocust mid-lawn, a young oak staked 11 in from the driveway edge. Step 1 classes all three trim, no vines, no nest traffic. Step 2 tapes them. Maple: circumference 26 in, damaged arc 7 in, so 7 divided by 26 is 27 percent. Oak: circumference 11 in, no bark damage, but a guy wire in hose has grooved the north side. Honeylocust: circumference 19 in with missing bark running continuously around it, so 19 of 19 in, 100 percent.

Step 2 fails on the honeylocust and takes its stop rule. No trimming inside its ring, the office told that day, routed to a certified arborist. The onboarding photo already shows that ring, dated before the shop's first mow, and the customer hears in person that the tree is girdled.

Step 3 measures the crew's trimmer at 8.5 in from spindle to line tip, and four passes per operator give a worst excursion of 6 in. Step 4 computes the ring: 8.5 plus 6 is 14.5, plus the 3 in margin is 17.5, rounded up to 18 in from the trunk face. The 12 in ring most crews cut by eye gives 12 minus 8.5 minus 6, which is minus 2.5 in of margin, so there bark contact is not operator error, it is the design. The maple's diameter is 26 divided by pi, or 8.3 in, so its radius is 4.1 in and the ring runs 18 plus 4.1, or 22.1 in from center, about 3.7 ft across. Measured at four points it reads 18, 19, 18 and 20 in, all at or above 18. Pass. The oak sits 11 in from the driveway, so 18 in is impossible there; that side goes hand only with a trunk guard.

Step 5 mulches all three rings with flares bare, removes the oak's guy hose, grooved an eighth of an inch into bark but not embedded past it, and pulls the stakes. Step 6: one circuit each on maple and oak, no bark contact, nothing run at the honeylocust, and zone 2 run once because the maple's ring sits under a spray arc, where the head clears the mulch. The record carries maple 27 percent, honeylocust 100 percent and routed, oak 0 percent with a guard, ring radius 18 in, cutting radius 8.5 in, aim excursion 6 in, and two re-check dates.

When the site does not match. A customer refusing a ring gets that position classed hand only in writing, and it is not trimmed by machine on a verbal assurance. Where the computed radius is wider than the customer accepts, the only honest reduction is to shrink the inputs, shorter line or a smaller machine, and record which changed.
