Documentation
Add-ons get sold on a promise (cleaner air, better comfort, fewer allergy symptoms) and then quietly stop working when nobody changes the consumable. Documentation is what keeps that from landing on you.
Document the reason before the install:
- The measured condition that justified the recommendation. Indoor relative humidity reading, static pressure, filter condition, particulate reading, whatever you actually measured. A recommendation with a number behind it survives a dispute; an opinion does not.
- The customer's stated complaint in their words (dust, dryness, odor, allergy symptoms). This is what you will be judged against later.
Document the install:
- Make, model, and serial of the add-on, plus where it was mounted and which duct or plenum it entered.
- Static pressure before and after. A dense filter or a new component can choke a marginal system, and the before-and-after reading is your proof you checked.
- Electrical connection: what it was powered from, any transformer added, any interlock to blower operation.
- Water and drain connections for humidifiers and dehumidifiers, including how the supply was tapped and where the drain terminates.
- Settings as left: humidistat setpoint, damper positions, zone panel configuration, thermostat programming.
- Photos of the finished install and the nameplate.
Document the handoff:
- Which consumable the customer is responsible for, the replacement interval, and the part number. Put it in writing and leave a copy at the equipment.
- What the add-on will and will not do. Managing this in writing prevents the "I still have allergies" call.
- Warranty terms, parts and labor, and the start date.
Set the follow-up: schedule the first consumable change in your system at install time. Who reads this later: the next tech, the manufacturer's warranty desk, and your own service manager when the customer calls to say the thing you sold them never worked.
