Reading Customer Water Quality Reference

Why this matters

Water quality affects everything water touches - fixtures, appliances, water heaters, plumbing, even taste. The tech who can identify water quality issues recommends appropriate treatment + extends equipment life. This is the field card.

Water sources

Municipal water:

  • Treated by utility
  • Generally safe to drink
  • Contains chlorine OR chloramine (disinfectant)
  • Quality varies by source + treatment

Private well:

  • Customer responsibility
  • Untreated typically
  • Quality varies wildly
  • Annual testing recommended

Surface water (rural):

  • Cisterns, springs
  • Highly variable
  • Treatment usually required

Common water quality issues

Hard water:

  • High calcium + magnesium
  • Most common issue
  • Scale buildup
  • Soap won't lather
  • Spots on dishes

Acidic water (low pH):

  • pH below 7
  • Corrodes pipes (especially copper)
  • Blue / green staining (copper corrosion)
  • Pinhole leaks over time
  • Common in well water

Iron:

  • Reddish / brown staining
  • Metallic taste
  • Stains fixtures + laundry
  • Can be in solution OR particulate

Manganese:

  • Black staining
  • Often with iron
  • Similar treatment

Sulfur:

  • Rotten egg smell
  • Anaerobic bacteria OR mineral
  • Hot water specific (water heater) sometimes
  • Treatment: aeration + chlorination, OR replace anode rod

Sediment:

  • Sand, silt, rust
  • Clogs aerators, valves
  • Filter at point of entry

Bacteria:

  • Coliform contamination (well water)
  • Health risk
  • Chlorination + testing

Chlorine taste:

  • Municipal disinfectant
  • Sometimes excessive
  • Carbon filtration removes

Nitrates:

  • Agricultural areas
  • Health concern (especially infants)
  • Reverse osmosis OR ion exchange

Lead:

  • Old plumbing OR service lines
  • Health concern
  • Lead-specific filtration OR replacement

Visual indicators

Hard water signs:

  • Scale on faucets
  • Soap scum
  • Spots on dishes
  • White buildup in coffee maker
  • Reduced flow at fixtures (scale)

Acidic water signs:

  • Blue / green stains in sinks
  • Pinhole leaks in copper
  • Stained fixtures (blue rings)

Iron signs:

  • Reddish stains in toilet bowl
  • Orange-stained laundry
  • Metallic taste
  • Cloudy water (when first drawn)

Sulfur signs:

  • Rotten egg smell
  • Only hot water (water heater issue) OR all water (well)

Sediment signs:

  • Water cloudy when first drawn
  • Particles in aerator
  • Clogged filters

Testing water

Test strips (simple):

  • Hardness (grains per gallon)
  • pH
  • Iron
  • Chlorine
  • Cheap; rough indication

Digital testers:

  • TDS (total dissolved solids)
  • pH
  • Conductivity
  • Better accuracy

Lab tests:

  • Comprehensive analysis
  • Required for some issues (bacteria, lead, nitrates)
  • Customer mails sample
  • Annual recommended for well

Hardness scale

Grains per gallon (gpg):

  • 0-1 gpg: soft
  • 1-3.5 gpg: slightly hard
  • 3.5-7 gpg: moderately hard
  • 7-10.5 gpg: hard
  • 10.5+ gpg: very hard

Most US tap water: 3-10+ gpg.

Effects by hardness:

  • Soft: no scale; some don't like taste; can be corrosive to old galvanized
  • Slightly hard: minor scale
  • Hard: significant scale; appliance impact; soap issues
  • Very hard: severe issues; treatment recommended

Water softeners

Ion exchange softener:

  • Sodium replaces calcium / magnesium
  • Most common
  • Salt added regularly
  • Regenerates periodically

Components:

  • Resin tank (does the softening)
  • Brine tank (salt + water)
  • Control valve (regeneration cycles)
  • Bypass valve

Sizing:

  • Per home size + hardness + water use
  • Match grain capacity to weekly use × hardness

Maintenance:

  • Salt added monthly
  • Resin lasts 10-20 years
  • Settings periodic verification

Customer benefits:

  • Less scale on fixtures + appliances
  • Soap works better
  • Longer water heater life
  • Softer skin / hair (some prefer)

Drawbacks:

  • Sodium in water (concern for some)
  • Salt consumption
  • Initial cost

Acid neutralization

For acidic well water:

Calcite neutralizer:

  • Mineral filter
  • Calcium carbonate dissolves into water
  • Raises pH
  • Requires periodic media replenishment

Soda ash injection:

  • For very acidic
  • Pump injects solution
  • More precise control
  • More complex

Iron removal

Iron filter:

  • Birm OR manganese greensand
  • Oxidizes + filters iron
  • Regenerates
  • For most iron levels

Aeration:

  • Air injection oxidizes iron
  • Settles out
  • For high iron

Sequestration:

  • Polyphosphate keeps iron in solution
  • Prevents staining

Bacteria treatment

Chlorination:

  • Inject chlorine continuously OR shock-treat

UV sterilization:

  • UV light kills bacteria

  • Bulb replacement annually
  • Doesn't address other contaminants

Reverse osmosis (point-of-use):

  • Removes most contaminants
  • Drinking water only typically
  • Wastewater (3-4× treated water)

For multiple issues:

Equipment damage from water quality

Water heater:

  • Hard water: scale on bottom + element

Dishwasher:

Coffee maker / ice maker:

When you identify water quality issue:

Testing approach

For service call:

  1. Hardness test strip (30 seconds)
  2. pH test (30 seconds)
  3. Chlorine / chloramine (municipal)
  4. Visual inspection of fixtures + appliances
  5. Customer interview (taste, smell, staining experienced)

Based on findings: recommendation OR full lab test.

When to recommend lab test

  • Well water (annually anyway)
  • New construction
  • Suspected contamination
  • Customer health issue
  • Property purchase (sometimes)

Common water-quality mistakes

Selling a softener for a problem a softener does not solve. A softener handles hardness. It does not fix low pH, it does not remove sulfur smell, it does not sanitize bacteria, and it only handles small amounts of clear-water iron. Put a softener on acidic well water and the customer still gets pinholes in the copper, only now they paid for salt too.

Testing at the wrong tap. A sample pulled downstream of an existing softener, filter, or RO tells you what the treatment is doing, not what the water is. Test at the pressure tank or the closest tap ahead of any treatment, and note on the ticket where you drew it.

Testing after the water has been sitting. First-draw water picks up metals from the plumbing itself. For a picture of the source, flush a few minutes first. For a picture of what the customer drinks in the morning, draw first-thing. They are different tests and they answer different questions. Say which one you ran.

Calling iron staining "rust from the water heater" without checking. Iron in the source, iron bacteria in the well, a corroding galvanized line, and a failed anode rod all stain. Check whether the staining shows on cold-only fixtures. Cold-side staining is not the water heater.

Missing the sulfur smell that only shows on hot water. That is usually the magnesium anode rod reacting with sulfate-reducing bacteria in the tank, not the well. Swapping to an aluminum-zinc anode and sanitizing the tank fixes it. Selling whole-house treatment does not.

Trusting a strip past its date. Test strips degrade with heat and humidity, and a truck in summer is both. Date the bottle when you open it, keep the cap shut, and throw out anything questionable.

Skipping the bacteria question on wells. Hardness and iron are nuisances. Coliform and nitrate are health issues, and they are the ones a strip cannot see. Well water gets a lab test, not a guess.

Sizing off nothing. A softener sized without hardness in grains per gallon, an iron number, and the household's daily use will either regenerate constantly or leak hard water at the end of the cycle. Get the numbers before you quote.
