Customer Reports Water Tastes or Smells Bad After Service, Response
Purpose
This procedure guarantees that a taste or odor complaint arriving within days of a shop service visit gets sorted correctly into one of three buckets, an expected and time-limited transient from the treatment method itself, an actual defect the service work introduced, or a residual sanitizer that never got flushed to a safe level, and closes with a number confirming which one it was, never with "give it a few days" and no retest. The stake is real: a shock chlorination or sanitize-and-flush that was not fully rinsed out leaves a swallowable chlorine concentration at the tap, which is an ingestion hazard, not a customer-perception problem, and it is the one cause on this list that has to be ruled out before anything else.
Scope
Covers a taste or odor complaint reported within 14 days of a shop service visit where a causal link between the visit and the complaint is plausible: a regeneration reset, a resin or cartridge change, a shock chlorination or system sanitize, a membrane change, or a new install. Does not cover a complaint with no recent service and in-spec test results, that ground belongs to the "all tests pass but customer still tastes off" decision tree. Does not cover a metallic-taste complaint against a low iron reading, owned by its own sibling decision tree. This procedure starts once the visit-to-complaint link is established; if no service is on record inside the window, hand off to those siblings instead.

Before any diagnosis
Where the linked service was a shock chlorination or a sanitize-and-flush, advise the customer not to drink or cook with water from the affected tap until you have tested it on site, before you taste anything yourself and before you inspect any equipment. A lingering sanitizer residual at swallowable concentration is a genuine ingestion hazard, and it is the only item on this list where "wait and see" is the wrong instruction to give over the phone.
The procedure
Pull the service history and confirm exactly what was done and when. Acceptance: the work order names the service type, regeneration reset, resin or cartridge change, shock chlorination or sanitize, membrane change, or new install, with days elapsed since. Wrong looks like guessing the service type from the complaint description alone. Stop rule: no service on record inside the window means this procedure does not apply; route to the taste-in-spec decision tree instead. Hazard: none at this administrative step.
Where the linked service involved a disinfectant, test free and total chlorine at the affected tap before anything else, regardless of what the customer described the taste as. Acceptance: free chlorine at or below the EPA maximum residual disinfectant level of 4.0 mg/L, no bleach odor detectable at the tap. Wrong looks like tasting the water yourself first or accepting "just a faint bleach smell, probably fine" as clearance. Stop rule: any reading above 4.0 mg/L, or a strong bleach odor, is a hard stop, the tap stays posted as not for drinking or cooking and flushing continues per the sanitizing procedure's own flush step; do not tell the customer it is safe until a retest clears it. Hazard: ingesting a high free-chlorine residual irritates mucous membranes and the gut, and smell alone is not a reliable gauge since odor sensitivity varies person to person; the number is the authority here.
Once chlorine is cleared, or if the linked service carried no disinfectant, check the timeline and description against that treatment method's own documented transient signature. Acceptance: an exact symptom match, new-carbon fines producing dusty first draws, a faint plastic or brine smell from fresh resin, a preservative taste from a stored membrane, AND days elapsed still inside the media manufacturer's own stated settling window. Wrong looks like calling anything unfamiliar "normal, it'll pass" without checking a real settling window. Stop rule: if elapsed days exceed the stated settling window, or the symptom does not match a documented transient, this is not expected; move to isolating a defect. Hazard: none.
Isolate a service-introduced defect specific to the work performed: a rinse volume short of the media manufacturer's spec, reversed inlet and outlet plumbing, a cross-connection or jumper reintroduced during the visit, or leftover sealant taste from a fitting remade that day. Acceptance: one specific defect confirmed, a logged rinse volume below spec, a visible jumper, a plumbing arrow mismatch. Wrong looks like re-tightening a fitting "just in case" without confirming it is the source. Stop rule: no correction proceeds until a specific cause is confirmed; correcting the wrong thing wastes a second trip. Hazard: none new at this inspection step.
Correct the confirmed defect: run the additional rinse to the media manufacturer's specified volume, correct reversed plumbing, remove the jumper, or reseat the fitting with sealant rated for potable water. Acceptance: the correction completed with the quantity or action logged, a timed or metered rinse volume, not an eyeballed one. Stop rule: a rinse correction is not complete until the specified volume has actually passed; do not move to re-test on a partial flush. Hazard: if the correction requires opening a fitting on a line fed by an active chemical feed pump, sanitizer or pH neutralizer, isolate that pump first so it is not injecting into an open connection; never work on an open line with a feed pump still running.
Re-test at the original complaint tap and one additional tap on the same branch, tasting yourself after a 90-second flush at each. Acceptance: no detectable off-taste or odor to the tech, and where chlorine was the original issue, a fresh reading matching what the source water should carry, not merely lower than before. Stop rule: if you can still detect the taste or odor after correction, the defect is not fixed; do not close out on the customer's word alone if you cannot confirm it yourself, escalate to a second visit with a lab sample if the cause stays unclear. Hazard: none.
Where the entry hazard action in step 2 was triggered, re-verify it is actually cleared with its own number, not a documentation sign-off. Acceptance: a fresh free-chlorine reading taken after the correction and flush, at or below the 4.0 mg/L ceiling, recorded with the value. Stop rule: if this confirming reading is not taken and recorded, the tap does not get released to the customer as safe; a completed flush without a number attached is not clearance.
Brief the customer on cause and fix, confirm any isolated feed pump from step 5 has been re-enabled and re-primed, and document everything. Acceptance: the customer can restate in their own words why the taste happened and what was done, and any isolated pump is confirmed running again. Wrong looks like a one-line closing note with no readings attached. Stop rule: the job does not close without both the briefing and the full set of readings on the work order.

Service type and date linked, chlorine residual readings before and after where tested, days-since-service against the stated settling window, the specific defect identified and the correction taken, re-test results at both taps, and confirmation the briefing happened. Filed against the customer's service history so a repeat complaint after the next visit starts from what was already checked, not from zero.
Worked pass: bleach taste three days after a private well shock chlorination
A private well is shock chlorinated and flushed as part of a bacterial-contamination job. Three days later the customer calls reporting a strong bleach taste at the kitchen cold tap. Step 1 confirms the service: shock chlorination, three days elapsed, well inside the window.
Step 2 fires immediately given the service type. The tech tests free chlorine at the kitchen tap: 6.5 mg/L, above the 4.0 mg/L EPA ceiling. The stop rule takes hold: the tap is posted as not for drinking or cooking, and the tech continues flushing per the shock-chlorination procedure's own flush step, running every fixture in sequence rather than assuming the earlier flush reached them all. A private well carries no ongoing chlorination the way a municipal supply does, so the realistic target here is not "under 4.0," it is approaching non-detectable, since any lingering residual after a completed shock-and-flush means that flush was incomplete.
After an extended flush at every fixture, the tech re-tests: 0.3 mg/L, effectively cleared. Steps 3 through 5 do not apply here, this is a disinfectant-residual case, not a transient-signature or defect case. Step 6's re-test at the kitchen tap and the bathroom tap on the same branch confirms no detectable taste to the tech at either. Step 7 re-verifies with a fresh reading specifically for release: 0.3 mg/L, recorded, well under the ceiling, the tap is cleared for drinking. Step 8 briefs the customer that the original flush after the shock treatment was cut short, likely because not every fixture on the property was run, documents both chlorine readings, and confirms there was no chemical feed pump on this system to re-enable.
