Photo and Sketch Documentation Technique for a Standard Loss

Why this matters

A carrier does not pay for what happened, it pays for what the file proves happened. Weeks after a job closes, nobody remembers which wall the stain actually ran up, and the adjuster reviewing the claim was never in the building at all. The photo set and the sketch are the only record that survives that gap, and a set built out of order, framed too tight, or filed with no naming convention is functionally the same as no record at all when someone actually needs it. This is the technique for building both so they hold up.

What the record has to prove

Four separate things ride on this documentation, and a photo or a sketch line that only covers one of them is doing a quarter of its job: the cause, what failed, and that it was sudden rather than a slow chronic leak, which is the distinction that decides whether the policy pays at all; the category, evidence of contact history, not just water's appearance; the extent, how far it actually traveled, tied to measured dimensions rather than a verbal estimate; and the timeline, that documentation happened before material was disturbed, not reconstructed afterward from memory. Build the set with those four jobs in mind, not as a checklist to complete after the fact.

Sequencing the set before anything moves

The intake procedure on this shelf already requires photographing before any material is disturbed; this technique is how that requirement gets executed well rather than just technically satisfied. Shoot in a fixed order every time: a wide shot of the whole affected room from the doorway, capturing the space in context; a close shot of the source itself, the failed line, the pan, the fixture; a shot of any category evidence, standing water color, floor-drain proximity, anything establishing contact history; then every moisture grid point in sequence with the meter face visible in the same frame as the material it is reading. Shooting the grid points last, after the wide and cause shots, means a stumble or an equipment move mid-sequence has not already contaminated the causation evidence.

Composition technique that keeps a photo usable later

Include a fixed reference of known size in at least one shot per room, a tape measure left extended along the stain edge, or a business card set beside a smaller detail; without it, nobody reviewing the photo months later can judge scale from a phone screen. Avoid flash on a stain edge where possible, since flash flattens the color and tonal contrast that distinguishes a fresh water line from an old one, and that contrast is often the evidence for or against a chronic-leak argument. Where the room lacks enough natural or ambient light to shoot without flash, take one flash shot for the record and one non-flash shot with a work light angled across the surface, which reveals texture and staining depth a flat flash shot erases.

Before you stand under a stained ceiling to get either shot, sight it the same way the intake sequence already requires: any new bulge or deflection since the last look means backing out and reassessing before anyone puts a camera or a body under it for a better angle, and if that check is not clean, the shot waits for a longer lens from a safe distance instead. A dramatic shot of a sagging ceiling from directly beneath it is not worth the ceiling coming down on the person taking it.

Building the sketch and measuring it right

A sketch is a scaled floor plan of the affected room or rooms with the room's outer dimensions, the affected footprint marked as its own boundary inside that outline, and the numbered grid points from the moisture-mapping technique carried onto it in the same numbering, so anyone with the sketch and the photo set can locate any given reading without walking the building again.

Measure the room's outer walls first, corner to corner, with a laser measure or tape rather than pacing it off; a paced estimate is routinely off by enough to shift the calculated affected percentage by several points, which matters once that percentage feeds an equipment-count justification or a line-item square footage on the estimate. Measure the affected footprint the same way, wall-to-wall along the visible or probed boundary, not eyeballed against the room outline from memory afterward. Where the affected boundary follows an irregular path rather than a clean rectangle, break it into simple rectangles or triangles and sum them rather than guessing a single blended shape; a sketch with the math shown is one the estimator can check, a sketch with just a final number is one they have to trust blind.

Labeling and filing so nothing goes missing later

Every photo file gets renamed or tagged with the job number, the room, and where relevant the grid point number, at the time it is taken, not batch-renamed back at the office days later when the sequence has already blurred in memory. A folder structure of job number, then room, then a subfolder for each visit date keeps the causation shots, taken once on day zero, clearly separated from the daily monitoring shots, taken repeatedly, so a reviewer pulling the file weeks later is not scrolling past dozens of near-identical equipment photos to find the one causation shot that actually matters.

Numbering across more than one room, and revising the sketch as the job changes

A loss that spans a hallway, a closet, and two adjoining rooms needs one continuous numbering scheme, not a fresh 1-through-N in each room. Number grid points in the order a person walking the actual water path would encounter them, room to room, rather than restarting at the doorway of each new room; a second "point 3" in a different room is exactly the kind of ambiguity that turns a clean sketch into a phone call to whoever built it. Carry the same discipline onto the sketch itself: draw each room to the same scale on one continuous page or a clearly cross-referenced set of pages, with a shared north arrow and a shared scale bar, so a reviewer flipping between rooms is not re-orienting from scratch each time.

That same numbering discipline is what protects the sketch when the affected boundary grows after day zero, a wet wall cavity found behind a cabinet that was not visible at intake, a hallway subfloor stain that turns out to extend further than the first measurement caught. This is common enough that the sketch has to account for it rather than pretend the day-zero drawing was final. Redraw the affected boundary with a new dated revision rather than erasing and overwriting the original; a sketch that shows only the final extent, with no record of what the boundary looked like on day zero, loses the very history that proves the loss legitimately grew rather than being over-scoped from the start. Keep the original grid numbering intact when the boundary expands and simply add new points at the next available number, since a point, once assigned, keeps its number for the life of the job.

Where this record stops and the next one starts

This technique owns the initial extent, causation, and sketch documentation, the record built once at intake and referenced for the life of the job. It does not own the daily equipment-placement photos that justify equipment-day billing; that routine belongs to the equipment-day documentation standard on this shelf and repeats on every visit rather than once. It does not own contents photography during a pack-out; that belongs to the content-inventory and storage standard, with its own per-item photo requirement. Treat the boundary as real: re-shooting a full causation set on day four because it could not hurt wastes a visit and, worse, invites a reviewer to wonder why the causation shots are dated days after the loss instead of the day it happened.

Worked example: the sketch and photo set for one job, filled in

Two-story home, an upstairs bathroom shower pan failed slowly enough to go unnoticed until a stain appeared on the downstairs living room ceiling.

Living room measured at 14 feet by 11 feet, 154 square feet total. The ceiling stain and the wet carpet beneath it were measured as a rectangle roughly 6 feet by 4 feet along the exterior wall, 24 square feet, which is 24 divided by 154, about 16 percent of the room's floor area. That percentage, with the underlying dimensions shown rather than just the final figure, went onto both the sketch and the estimate line for affected square footage.

Grid points 1 through 6 were marked and photographed inside that 24-square-foot footprint, three on the ceiling drywall and three on the carpet directly below, each photographed with the meter face visible against the material. Two reference points, numbered 7 and 8, went up on unaffected ceiling drywall and carpet in the same room, away from the stain, and were photographed the same way.

The full photo set for the visit: one wide shot of the living room from the doorway, one close shot of the shower pan upstairs where the source was confirmed, one shot of the ceiling stain's edge with a tape measure extended along it for scale, and eight grid-point shots, points 1 through 8, meter face included in every frame. Eleven photographs total, each renamed with the job number, room, and point number where applicable before the tech left the property.

A dining chair had been pulled into the living room doorway to get the wide shot clear of the sofa; rather than leave it there for the next photo or for the extraction crew to trip over, it went back to its own room immediately after the shot, and the sketch noted the sofa's original position rather than the moved chair's.

Verifying the set before you leave

Walk the numbered list against the actual photo folder: does every grid point on the sketch have a matching photo, and does every photo have a matching point on the sketch. Recompute the affected square footage from the measured dimensions rather than trusting the number already written down, since a transposed digit in a room dimension changes the percentage without changing how the sketch looks at a glance. Confirm the source and category-evidence shots exist and are dated before any material was moved; if either is missing, the gap gets documented in the file as a known limitation rather than backfilled with a later photo relabeled as day zero.
