Extension Pole and Ladder Daily Safety Standard
Purpose
A ladder or a water-fed pole that fails on the truck at seven in the morning costs ten minutes and a phone call. The same failure discovered eighteen feet up a customer's house costs a fall. This standard guarantees every ladder and pole gets the same pass/fail check before it leaves the yard and again at each setup, so equipment failure gets caught on the ground instead of in the field.
Scope
This SOP covers the daily pre-use inspection and use-discipline for extension and step ladders and telescoping water-fed poles used on ground-level and low-rise (under 30 ft) residential and light-commercial stops, per windowcleaning-high-rise-vs-ground-level. It does not cover: ladder setup geometry, duty-rating classification, and ANSI labeling (owned by windowcleaning-ladder-safety-ansi-a14), the ladder-vs-scaffold-vs-lift selection decision (owned by windowcleaning-ladder-vs-scaffold-decision), water purification chemistry and TDS targets (owned by windowcleaning-tds-targets-pure-water), scaffold and lift equipment (owned by windowcleaning-scaffold-and-lift-access-standard-for-window-cleaning, this batch), and the weather go/no-go call (owned by windowcleaning-weather-hold-decision-standard-for-exterior-work, this batch).

Procedure
Morning ladder inspection. Before loading, check every ladder going out today: side rails for cracks, dents, or deflection past 1/8 inch; rungs for looseness or damage; locks and spreaders for full function; feet for wear through the tread cap; and the duty-rating label for legibility, per windowcleaning-ladder-safety-ansi-a14. Acceptance: every item passes visual and tactile check. Wrong looks like a rung with a hairline crack that flexes under hand pressure but is not visually obvious. Stop rule: any failed item, tag "DO NOT USE," pull it from the truck the same day, and log it to the Shop Lead. A ladder does not get used "just for today" while awaiting review; it stays off the truck until cleared.
Duty-rating match. Confirm today's ladder is rated for the combined weight of the assigned tech plus tools for today's stops, per the Type ratings in windowcleaning-ladder-safety-ansi-a14. Acceptance: the stated duty rating exceeds the estimated combined weight for today's heaviest-loaded stop. Wrong looks like loading a Type II ladder with a tech and a full 5-gallon bucket that together exceed its rating. Stop rule: the day's heaviest load exceeding the loaded ladder's rating means swap to a higher-rated ladder before departure, rather than working closer to the limit than the rating allows.
Water-fed pole daily inspection. Extend every pole section fully and confirm each locks smoothly with no binding, inspect every ferrule for cracking, check the hose and quick-connects for cracking or weeping, and confirm the brush head bristles are intact and seat squarely on the pole tip. Acceptance: every section locks and extends without resistance, no ferrule shows a visible crack, and the hose holds pressure with no weep at any connection. Wrong looks like a section that binds halfway and gets forced the rest of the way. Stop rule: any cracked ferrule, weeping connection, or binding section means tag the pole out, swap to a backup, and log it to the Shop Lead the same day; do not force a binding section, since forcing it is how a hairline crack becomes a section failure mid-job, at height, with the tech's hand on it. If no backup pole is available, the stop moves to traditional squeegee work from a lower reach point instead, not a forced pole.
Conductivity and overhead-line awareness. Before loading a pole for a stop with a known service drop, note that both aluminum and carbon-fiber poles are electrically conductive, carbon fiber more so than most techs assume from its look. Acceptance: the tech can state, before departure, which of today's stops have a known overhead line near the planned work area. Wrong looks like treating the pole as inert because it "isn't metal like a ladder." Stop rule: no pole or ladder work within 10 ft of an overhead line under 50 kV, full stop; if the only clear placement point sits inside that distance, the stop needs a different access method entirely, not a careful operator.
Tie-off and stand-off accessory check. Confirm the ladder's tie-off strap and any stand-off or stabilizer bracket assigned to today's ladder is present, undamaged, and rated for the specific ladder model it is paired with. Acceptance: the strap shows no fraying and the bracket's mounting hardware is fully engaged. Wrong looks like a stand-off bracket loaded onto a ladder it was not designed for. Stop rule: a missing or damaged tie-off strap, or an unrated bracket pairing, means no eave-height ladder work today on that unit; substitute a different ladder or the pole.
On-site setup geometry check. At each stop, before climbing, verify the ladder's base-to-wall offset against the 4-to-1 rule and confirm it extends at least 3 ft above the point of support, per windowcleaning-ladder-safety-ansi-a14. Acceptance: the measured offset matches 4-to-1 for the working height, and the extension above support is at least 3 ft. Wrong looks like eyeballing the angle because "it's the same house as last visit." Stop rule: geometry that does not check out on the actual ground at this stop today (a flower bed graded differently, a new paver path) means reset the base before climbing; never climb on an assumed setup from memory.
Mid-use re-check. Any time the ladder is moved to a new position or the pole is extended to a new maximum length during the stop, repeat the relevant checks from steps 4 and 6 before continuing work. Acceptance: every reposition gets its own geometry and clearance check, not just the first one of the day. Wrong looks like resetting a ladder at the back of the house without re-checking footing because the front setup already passed. Stop rule: skipping the re-check means the day's first passing setup becomes the excuse for every later one; treat each placement as its own check.
End-of-day stow and damage log. Clean and store the pole with sections retracted and locked, engage the ladder's transport locks, and log any new damage or near-miss discovered during the day before the truck leaves the last stop. Acceptance: every piece of equipment used today is logged as returned in the same condition it left, or logged with the specific new issue found. Wrong looks like a damaged rung discovered at the last stop and never logged because the day ran late. Stop rule: an unlogged damage discovery at day's end hands tomorrow's crew an unknown-condition ladder; log it before leaving the last stop, not from memory back at the shop.
Exceptions
- No backup pole or ladder is available when today's unit tags out. Resequence the affected stops to a method that does not need the failed equipment class, or reschedule the specific stop, rather than pressing a tagged unit back into service.
- A stand-off or tie-off accessory is rated for one ladder model but only the other size is on the truck. Treat the mismatch as a failed check under step 5; do not improvise a fit.
- The Shop Lead is unavailable to clear a tagged item before the next scheduled route day. The item stays tagged and off the truck. A route short one ladder for a day costs less than an uninspected one back in service.
The record this produces
Each day's tag-out log shows the item, the failed check, the date tagged, and the date cleared by the Shop Lead, stored against the equipment record rather than the job. The route app's stop-level entries carry the geometry and clearance re-checks for any mid-stop reposition. The Shop Lead reads the tag-out log weekly to spot a pattern, since the same pole failing ferrules every season points to a replacement decision, not another repair.
Worked pass
Tuesday morning, a two-truck shop. Truck one's tech pulls the assigned 24-ft extension ladder and the 35-ft carbon-fiber WFP pole. Ladder inspection passes: no rail deflection, rungs sound, label legible. Duty-rating match: today's heaviest stop pairs a 190-lb tech with a full bucket and tool belt, comfortably under the ladder's Type IA 300-lb rating.
Pole inspection: sections one and two extend and lock smoothly. Section three binds slightly, and on closer look the ferrule shows a hairline crack running most of the way around. This is the FAIL. Step 3's stop rule takes effect: the tech does not force the section, tags the pole "DO NOT USE," pulls it from the truck, and swaps to the shop's backup 30-ft pole before departure. The tag-out is logged to the Shop Lead with a photo of the crack.
At the first stop, overhead-line awareness check confirms no service drop near the planned work area. Tie-off check passes. On-site setup geometry: base offset measures correctly against the 4-to-1 rule, extension above support is 3.5 ft. Midway through the stop, the ladder is repositioned to the back of the house; mid-use re-check finds the new footing is on a slight slope, so the tech adds a leveler before climbing rather than eyeballing it. End-of-day stow: the backup pole is cleaned and retracted, the ladder's transport locks engaged, and the day's one tag-out is the only log entry. The Shop Lead clears a replacement ferrule kit for that pole before it returns to the truck two days later.
