Screen Inventory and Labeling Standard for Multi-Window Jobs
Purpose
A screen or storm panel pulled off a window and set down without a label becomes indistinguishable from every other screen on a job with more than a handful of windows, and the shop finds out it is wrong only when a customer calls back because two screens are swapped, one will not seat, or one never went back on at all. This standard guarantees that every screen and storm panel removed from a multi-window job returns to the exact opening it came from, seated correctly, with a count that reconciles at departure, so the job that looked complete when the crew left actually is complete when the customer checks it.
Scope
Covers any job where more than about six screens, storm panels, or combination units come off a single property in one visit, whether for a straight cleaning pass, a seasonal swap, or work paired with track and hardware service. A property below that count can usually be tracked by memory and immediate reinstall per window without a formal system; above it, memory reliably fails, which is the threshold this standard exists to catch.

Procedure
- Assign a labeling scheme and staging zones before removing the first unit. Number or letter each window opening on a simple floor sketch by elevation and room (for example "Front-2" or "Kitchen-N"), and mark a matching tag on painter's tape applied to the frame edge of each screen or panel as it comes off. Accept: every opening on the job has a unique identifier written on the sketch, and tape and marker are staged before removal starts. Wrong: starting removal with a plan to label as you go from memory, which is the exact failure this standard exists to prevent. Stop rule: if the sketch is not made or the labeling materials are not staged, hold removal on that elevation until they are. Hazard: none specific to this step.
- Label each unit at the moment it comes free, before setting it down anywhere. Apply the painter's tape tag to a corner of the frame, matching the sketch identifier, and record the same identifier on a running paper or digital tally. Accept: every removed unit carries a legible tag before it touches a staging surface, and the tally count matches the number of units removed so far. Wrong: removing two or three units in a row before labeling any of them to save time, which is exactly the pattern that produces an untraceable mix-up once four or five same-size panels are sitting together unmarked. Stop rule: an unlabeled unit does not get set down in a shared staging area; it stays in the technician's hands until labeled. Hazard: and if that does not hold, meaning a unit does get set down unlabeled among others, stop work on that elevation and resolve the identity of every unlabeled unit against the sketch before continuing, rather than proceeding and hoping memory holds.
- Stage each labeled unit in a dedicated zone organized by elevation, not in one shared pile. A rolling rack, a tarp divided by elevation, or separate totes per side of the house all work; a single stack mixing units from the front, back, and side elevations does not. Accept: units physically separated by elevation in the staging area, each visible and readable without moving others aside. Wrong: stacking panels flat and face to face regardless of elevation, which both risks scratching one frame's edge into the next panel's glass or screen face and defeats the purpose of the staging zone. Stop rule: if the staging area is full or disorganized, pause removal on the next elevation until the current one is reconciled and moving toward reinstall. Hazard: a staging area near a walkway or a ladder's base is a trip and stability hazard for anyone carrying the next unit; keep the zone clear of foot traffic paths and ladder feet.
- Reinstall each unit only after confirming its tag matches the opening being serviced, cross-checked against the sketch, not against a visual size guess. Accept: tag identifier read against the sketch before the unit is lifted into the opening. Wrong: reinstalling a same-size unit into a nearby opening because it looks right, skipping the tag check to save a few seconds; adjacent openings on the same elevation commonly run close enough in size that a mismatch will still seat with visible effort, which only this tag check catches before the panel is forced. Stop rule: a unit whose tag does not match any remaining open position on the sketch gets set aside as unresolved rather than forced into the nearest opening; see step 6. Hazard: none beyond the routine handling hazards covered in the removal and reinstall technique.
- Remove the tape tag only after the unit is confirmed seated per the removal and reinstall technique's own verification (flush, square, fasteners engaged). Accept: tag removed cleanly with no adhesive residue left on the frame, unit confirmed seated before the tag comes off. Wrong: pulling the tag as a matter of routine tidiness before confirming the seat, which discards the one piece of evidence available if the unit later turns out to be mis-seated. Stop rule: if adhesive residue remains after tag removal, wipe it before leaving the window rather than leaving a sticky corner that collects dirt. Hazard: none specific to this step.
- Reconcile the full count before leaving the property. Compare the running tally from step 2 against the count of units confirmed reinstalled and tagged-removed; any unit still in a staging zone, on the sketch as unresolved, or otherwise unaccounted for gets identified by opening before departure. Accept: tally count equals reinstalled count equals original removed count, with zero units unaccounted for, or every discrepancy explicitly explained (a unit left off at customer request, a unit set aside for repair). Wrong: leaving the property with the staging zones empty and assuming that means everything went back correctly; an empty staging zone only proves every unit left the zone, not that each one went to the right opening. Stop rule: any unexplained discrepancy in the final count holds the crew on site until it is resolved by re-checking every opening against the sketch, rather than leaving and hoping the customer does not notice. Hazard: none specific to this step.
The record this produces
The floor sketch with its identifier scheme, the running tally, and any unresolved-unit notes go into the job file, either as a photographed sketch or a digital equivalent. A callback claiming a screen is missing or in the wrong window gets checked against this record first: it either confirms the job's own reconciliation already caught and resolved the issue, or it shows the crew a specific opening to re-check rather than starting the investigation from zero. The record also carries forward to the next seasonal swap on the same property, since a set of storm panels and screens tagged once by opening and location saves re-measuring the whole property a second time.
Worked pass, with a step that failed
A 19-window brick two-story, screens off for a fall storm-panel swap. The lead technician sketches the elevations (Front 1-6, Side-A 1-4, Rear 1-7, Side-B 1-2) before the crew starts, and stages three zones on tarps by elevation.
Removal and labeling, steps 1 through 3, run clean through Front and Side-A: 10 screens tagged and staged, tally at 10. On Rear-3, the technician gets pulled away mid-removal by a customer question about the driveway gate and sets the screen on the tarp before finishing the tag, in violation of step 2's stop rule. Noticing the untagged screen a few minutes later during the Rear-4 removal, the technician cannot be certain which of two very similar Rear-elevation openings it came from by sight alone.
Step 2's own hazard clause runs as written: work on the Rear elevation pauses, and rather than guessing, the technician re-measures the untagged screen's width against both the Rear-3 and Rear-4 openings with a tape measure. The width matches Rear-3 to within a sixteenth of an inch and is visibly short for Rear-4, resolving the identity with reasonable confidence; it is tagged accordingly and the tally is corrected to reflect the pause rather than silently continuing as if nothing had happened.
The remaining 15 windows complete without further incident. Step 6's reconciliation at departure confirms 19 removed, 19 reinstalled, tally matching on all four elevations. The Rear-3 near-miss is noted in the job file per the record-keeping section above, flagging that opening specifically in case the customer reports any fit issue on that one window in the following days.
