Residential Route Service Standard
Purpose
Every stop on a residential route gets the same sequence regardless of which tech runs it: the same pre-work damage check, the same access setup discipline, the same departure walkthrough. Without a standard, quality drifts stop to stop and tech to tech, and the drift shows up as three costly patterns: a callback because nobody caught a missed pane, a liability dispute because nobody photographed a pre-existing crack before touching the glass, and a route that quietly slides past its time budget because nobody is watching the clock until the whole day is behind. This standard exists to hold a tight route together stop after stop, not to teach a new hire how to clean a window.
Scope
This SOP covers the per-stop procedure a route technician runs at a ground-level or two-story residential or light-commercial stop, from arrival through departure and CRM close-out. It does not cover: route clustering, pricing, or cancellation policy (owned by windowcleaning-route-economics and windowcleaning-solo-route-density-math), ladder and water-fed-pole daily equipment checks (owned by windowcleaning-extension-pole-and-ladder-daily-safety-standard, this batch), scaffold or lift access on taller stops (owned by windowcleaning-scaffold-and-lift-access-standard-for-window-cleaning, this batch), rope-descent high-rise work (owned by windowcleaning-commercial-high-rise-rope-descent-access-standard, this batch), the weather go/no-go call (owned by windowcleaning-weather-hold-decision-standard-for-exterior-work, this batch), and post-construction fabricating-debris liability (owned by windowcleaning-scratched-glass-liability-checklist and windowcleaning-post-construction-first-clean-liability).

Procedure
Pre-departure load check. Confirm the truck carries the equipment the day's stop list calls for (ladder length, WFP pole, TDS meter charged, cleaning solution stocked) against the router's equipment column. Acceptance: every stop on today's list has its required equipment physically on the truck before leaving the yard. Wrong looks like discovering at stop three that the 25-ft pole never got loaded. Stop rule: if equipment is missing for a stop, call dispatch before departure, not after arrival, so the stop can be resequenced or the item picked up en route. This step carries no hazard of its own, but a missing tool is what pushes a tech toward the wrong-size ladder two steps later.
Arrival site scan. Before unloading anything, walk the property line the tech will work: note active sprinkler zones, loose or unrestrained pets, uneven or sloped ground where a ladder base would land, and any overhead service drop near the planned placement. Acceptance: every ladder or pole placement zone is confirmed clear of an active sprinkler head and at least 10 ft from any overhead line under 50 kV. Wrong looks like setting up under a service drop because the tech never looked up. Stop rule: an unconfirmed sprinkler zone or a line inside 10 ft means relocate the setup point, or hold the stop and call dispatch if no clear point exists. The hazard is a ladder or pole contacting an energized line, or a footing lost on a suddenly-wet walkway, and if the sprinkler timer cannot be confirmed off, treat the zone as live.
Customer contact and scope confirmation. Knock or ring, confirm the tech's presence with whoever answers, and confirm the booked scope has not changed since the office call (added windows, a "skip this room" request, a pet now living in the yard). Acceptance: the tech states the booked scope aloud or leaves the standard door-hanger notice when nobody answers, and any change is logged before work starts. Wrong looks like proceeding on a stale scope and discovering a locked gate or a new dog mid-job. Stop rule: access refused, an unsafe property, or nobody home when interior access is required means do not proceed on assumption; follow the Exceptions section below instead.
Pre-work condition walk. Before any tool touches glass, walk every pane the job will cover and note pre-existing chips, cracks, screen tears, or frame damage, with a photo of anything found. Acceptance: every pane logged as clean-to-start, or photographed with a timestamp before the first tool contacts it. Wrong looks like a tech noticing a crack mid-squeegee with no photo proving it was already there. Stop rule: a defect found AFTER work already started on that pane means stop working it immediately, photograph it as-is, and note the photo is mid-service, not pre-service; this weakens but does not erase the defense, so flag it to dispatch and disclose it at departure rather than invoicing it silently. Access setup and use. Set the ladder or pole per the daily equipment standard (windowcleaning-extension-pole-and-ladder-daily-safety-standard owns the inspection and setup-geometry acceptance criteria; this step only confirms the setup was actually run before work begins). Acceptance: the tech can state the setup passed its own standard's checks for this specific placement. Wrong looks like a tech skipping the geometry check because "it's the same house as last quarter." Stop rule: if the setup standard's own stop rule triggers (bad footing, failed equipment, overhead clearance violation), this stop follows that SOP's stop rule before any glass work continues.
Work sequence and mid-job quality check. Work the elevations in one direction (front to back, whichever the router noted) rather than bouncing between sides, and stop after the first two or three panes to check the finish: no visible streak at a 3-ft viewing distance in daylight, no residue at the corners, no water track at the sill. Acceptance: the sample check passes on at least one pane before the tech commits to the same technique across the house. Wrong looks like finishing all 22 panes before noticing the solution mix was off. Stop rule: a failed sample check means stop and diagnose the cause (dilution, TDS reading, technique) before continuing, rather than repeating the same miss across the house.
Time-budget check at the midpoint. At roughly the halfway point of the job (by pane count or by the router's on-glass estimate), check elapsed time against the stop's budget. Acceptance: elapsed time at the midpoint is at or under half the budgeted duration, give or take a few minutes. Wrong looks like discovering at pane 20 of 22 that the stop already ran 40 minutes over with no warning to dispatch. Stop rule: more than 20 minutes over budget by the midpoint means text or call dispatch before finishing, so the day can be resequenced instead of every later stop absorbing the delay. This is an operational default; tune the 20-minute trigger to your own route's slack.
Departure walkthrough and disclosure. Walk the completed work with the customer when they are available, point out anything flagged during the pre-work or mid-service walk (step 4), and confirm the scope delivered matches the scope confirmed at arrival (step 3). Acceptance: every flagged item from step 4 is verbally disclosed and logged as disclosed, not left for the customer to discover later. Wrong looks like a flagged crack sitting in the job notes but never mentioned to the customer standing right there. Stop rule: if the customer disputes a flagged item's timing (they believe the tech caused it, not that it was pre-existing), do not argue it on the doorstep; show the photo timestamp, offer to have dispatch follow up, and log the dispute in the record for the office to resolve.
Close-out and route log. Check in through the route app (GPS-stamped), attach the photo sets, log actual time against budgeted time, and note the flagged item's resolution status. Acceptance: the stop shows closed in the app with photos attached before the truck leaves the property. Wrong looks like closing out from the truck two addresses later, from memory. Stop rule: if the app will not accept the check-in, do not leave the stop marked open; note the time and photo count on paper and complete the entry before the next stop, not at the end of the day when details have blurred.
Exceptions
- Nobody answers and interior access is required but not pre-authorized. Leave the door-hanger notice with a callback number, complete only the exterior scope, and log the stop as partial. Do not attempt entry.
- Customer refuses a flagged pre-existing defect's classification. Do not negotiate liability on site. Disclose, photograph, log the dispute, and route it to the office per step 8's stop rule.
- A required access zone cannot be cleared of its hazard (sprinkler zone with no visible controller, overhead line with no safe alternate placement). Complete what can be safely reached and log the incomplete elevation for a scheduled return rather than forcing a placement.
- The time overage exceeds the router's resequencing window. Finish the current stop to a safe stopping point; do not compress remaining stops into unsafe pace, and let dispatch reschedule what does not fit.
The record this produces
Each stop's route-app entry carries: GPS-stamped check-in and check-out, the photo sets, any flagged defect with its disclosure status, actual time against budgeted time, and the resolution status of any dispute. Dispatchers read the flag fields before the next visit; Office/Billing reads the time-actual field to catch a systematically underpriced stop; the owner reads the disclosure log across a quarter to catch a callback pattern before it becomes a reputation problem.
Worked pass
Tuesday route, stop four of nine: a two-story, 22-window standard residential clean, budgeted at 90 minutes. Load check passes, both the pole and extension ladder are on the truck. Site scan finds one sprinkler zone near the side-yard placement point; the controller shows it off until Thursday, so setup proceeds there. Customer contact confirms the booked scope, no changes.
Pre-work condition walk: the tech photographs 21 of 22 panes clean-to-start. The mudroom window, partly hidden behind a coiled garden hose, gets missed. Work proceeds elevation by elevation. On the mudroom pane, mid-squeegee, the tech notices a hairline crack near the lower corner: this is the FAIL. Step 4's stop rule takes effect. The tech stops working that pane immediately, photographs it as-is with a timestamp, notes in the app that the photo is mid-service not pre-service, and texts dispatch.
Mid-job quality check at pane 11 passes on the first sample. Midpoint time check: 48 minutes elapsed against a 45-minute half-budget target, 3 minutes over, well under the 20-minute escalation trigger, so no dispatch call on time alone. Departure walkthrough: the tech discloses the mudroom pane, shows the photo and timestamp, and explains the mid-service note. The homeowner accepts and asks that the pane be watched next visit. Close-out: 96 minutes actual against 90 budgeted, photo sets attached, flagged item logged as disclosed and accepted, before the truck leaves for stop five.
